We are currently seeking a Proposal Coordinator for a 6-month contract (with potential for renewal). This role offers a valuable opportunity to enhance professional skills in a collaborative and dynamic environment, with a focus on organization, communication and cross-functional teamwork. The Proposal Coordinator provides essential support to the Proposal Management Group and sales organization by assisting with the development, formatting, and editing of public and private proposal responses.
What You Will Be Doing:
• Review RFP instructions and supporting documentation to understand submission requirements.
• Create proposal outlines and templates to ensure proposals are submitted in the correct format and through the appropriate channels; document and communicate key timelines.
• Collaborate with internal stakeholders to obtain content and documentation for proposal submission when required.
• Schedule meetings, manage document versions, format documents, proofread and edit proposal responses, as required.
• Coordinate with various stakeholders and cross-functional teams to gather information.
• Provide coordination support to proposal specialists on complex RFPs, including assistance with information gathering, document organization, version control, and submission preparation.
• Participate in the maintenance and enhancement of essential RFP documents and certifications, including documents included in the sales self-serve toolkit.
• Provide support to team initiatives and team leads as required, contributing to overall team success.
What You Bring:
• 2-4 years of experience in proposal coordination, project coordination, or administrative support role.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication skills.
• Ability to manage multiple tasks and deadlines in a fast-paced environment.
• Comfortable working with Microsoft Office tools (Word, Excel, PowerPoint, Outlook).
• Team-oriented mindset with a willingness to learn and grow.
• Bilingualism in English and French.
• Familiarity with public procurement portals (e.g., SEAO, Merx, Biddingo) is an asset.
• APMP Foundation or PMP certification is a plus but not required.
