Administrative Assistant, Interdisciplinary Occupational Health Team

JOB SUMMARY:

Reporting to the Regional Health and Safety Manager, the incumbent's primary role involves coordinating activities within the interdisciplinary occupational health team. This includes managing access, coordinating teleconferences and phone calls, coordinating schedules and handling the administrative side of the attendance program.

The incumbent provides broader administrative support to various departments (local and regional). They perform high-level and very complex secretarial and office work involving tasks that are often difficult, technical and confidential with minimal supervision. They also perform various other administrative tasks, and show discretion and tact.

REQUIREMENTS:

  • High school diploma or general education diploma (GED), and diploma from an administrative support program of over one year and up to two years, or equivalent;
  • Medical terminology training or completion of training within set deadline (training available in iTacit);
  • Extensive work experience in the administrative or medical field, including at least five years’ experience as an executive or medical secretary;
  • Ability to manage multiple priorities simultaneously while meeting deadlines;
  • Excellent interpersonal skills and adaptability;
  • Attention to detail and ability to work in a dynamic environment;
  • Proficiency with IT tools such as Microsoft Office (Word, Excel, PowerPoint, Access, etc.), Zoom, Intrahealth, Parklane and willingness to upgrade knowledge to meet needs;
  • Positive, client-service-oriented attitude;
  • Ability to travel occasionally for work;
  • Ability to work independently and as part of a team;
  • Physical ability to perform assigned work;
  • Good work history (performance and attendance);
  • Adherence to professional ethics principles, the Network’s management philosophy and organizational values;
  • Adherence to the Network’s confidentiality rules.
