Role Summary
This position supports daily dispatch and logistics operations, including email management, driver support, vehicle tracking, mobile device setup, and updating data in dispatch systems. It also involves coordinating with external carriers, booking hotels for drivers, updating delivery statuses, and managing fuel cards, site access, and reporting tools. Strong organizational and communication skills are essential to ensure smooth transportation operations and quick problem resolution.


Your Responsibilities

  • Manage the dispatch email inbox and ensure timely follow-up.
  • Add and remove units (vehicles) in the dispatch system.
  • Send loading authorizations and respond to driver requests.
  • Update dock locations for GM, CN, and Honda.
  • Configure, monitor, and troubleshoot drivers’ mobile devices.
  • Keep the Anydesk address book updated with unattended access and active plugins.
  • Verify that all doors, gates, and sensitive areas are locked.
  • Manage access via the Igloohome app (additions and removals).
  • Book hotels for drivers using the Choice account.
  • Update Super Dispatch when orders are delivered in Magnus.
  • Manage Pipeline, Irving, and Comdata fuel cards (additions, removals, tracking).
  • Open maintenance tickets in MIR for breakdowns reported by drivers.
  • Track loads in transit for more than 5 days with external brokers.
  • Check daily for non-unloadable units, update statuses, and notify relevant teams.
  • Extract and monitor weekly reports of pending units, communicate with CN or manufacturers.
  • Add orders without models in Magnus and decode them.
  • Manage “Snowbirds” loads and deliveries in Magnus.
  • Produce one-off purchase reports for Ford.
  • Handle Honda holds in the absence of the responsible colleague.
  • Generate and maintain Toyota reports.
  • Update external carrier loads and perform required follow-ups.

What We’re Looking for in Our Next Dispatcher
  • Diploma in transportation logistics or relevant certification;
  • Minimum 2 years of experience in logistics and/or dispatch;
  • Excellent command of M365;
  • Experience working with unionized drivers (an asset);
  • Comfortable with transportation management software (e.g., Magnus, Super Dispatch, MIR);
  • Ability to quickly learn and use tech tools such as Anydesk, Igloohome, or other mobile tracking systems;
  • Strong organizational skills, priority management, and ability to handle multiple tasks;
  • Ability to work under pressure and independently;
  • Attention to detail and accuracy in data entry and updates;
  • Bilingual in French and English (spoken and written);
  • Customer service mindset, team spirit, and proactive attitude for quick problem-solving;
  • Availability to work flexible hours or outside normal hours in case of emergencies (as needed);
  • Any other related tasks.

Employment Conditions
  • Salary: To be discussed based on relevant experience
  • Schedule: 12:00 PM - 8:30 PM; 40 hours/week (Monday to Friday)
