Description
The Project Coordinator will elicit, analyze, specify, validate and manage to completion the business needs of small project or service request stakeholders. This includes interviewing stakeholders and gathering and compiling user requirements to convey to Project Management Office. The Project Coordinator will also apply proven communication, analytical, and problem-solving skills to help support the project or service request development process, and to ensure that project or service request deliverables are met according to specifications.
The Project Coordinator provides assistance to the Project or Portfolio Managers, with reporting and updating schedules or documentation for programs, projects, and /or coordinating activities under management by the PM. The Project Coordinator is tasked with the timely collection and/or validation of status information from Project Managers to support reporting up to senior management. The Project Coordinator is also tasked with collecting and updating projections of project timing and resource allocations to provide forecast data. The Project Coordinator may also be asked to manage small projects or complex service requests.
Negotiate with internal and external resource managers to secure appropriate staffing for projects
- Allocate and report on resource availability through the web based tool
- Facilitate resource status update meeting including documented minutes
- Report on HITS resource availability and forecast resourcing demands
- Identify and manage risks related to resource availability
- Meet with Resource Managers to review allocations and demand and identify bottlenecks
- Review and recommend solutions for resourcing conflicts
- Build & update schedule of activities for projects and/or service requests
- Prioritize service request or project tasks
- Create dependencies between tasks within one or multiple projects
- Obtain approval for and assign resources to projects
- Ensure project detail data is current and up to date with Eclipse
- Manage assignment of and oversight to staff assigned to projects or SR’s
- Schedule, run project meetings as required
- Create or assist in creation of project so SR cost estimate
- Ensure transfer of funds/invoicing is completed in a timely manner
- Ensure overall project budget includes HITS estimate
- Prepare change order for budget overruns as required and obtain client signoff
Various level of reporting to be done on resources, schedule and budget, depending on stakeholder. The stakeholder will dictate the level of granularity required for each report. Reporting could include:
risks and issues
budget
resource demand vs availability
scheduled activities
change requests
items affecting scope
Liaison with vendors, clients, and internal staff to ensure quality of the product provided
- Ensure the product meets the requirements of the client
- Ensure the product is expedited within the required time lines
- Ensure Client signoff on products when received
- Identify and provide contingency plan for product discrepancy
- Certifications in technology-related and project management disciplines an asset
- Project Management (PMBOK) experience preferred
- ITIL v3. Foundations preferred
- Specific knowledge of Excel and various Project and Portfolio Management platform(s) required.
