About the role

Reporting to the Director, Project Office, the Administrative Coordinator, Projects and Business Solutions team plays a key role in providing administrative, operational, and organizational support to the team. He/she ensures the effective management of requests, team schedules, and documentation tools, in addition to producing accurate and relevant reports to ensure the effective follow-up of initiatives.

He or she must also ensure that the working conditions and environment are conducive to collaboration and excellence. The ideal candidate is action-oriented and solution-focused, with good listening skills and a strong sense of customer service.

The Groupe Alesco is currently growing rapidly and has just entered the Ontario market. This naturally brings with it a growing need to hire new employees who are fully bilingual.

Responsibilities

Without limitation, the Project and Solutions Team Coordinator must:

Administrative and organizational management

  • Maintain and coordinate activities (meetings, reports, follow-up on actions).
  • Ensure document management for projects and initiatives
  • Manage the team's service desk in the JIRA tool
  • Provide active support for product backlog management (ticket tracking, statuses).

Reports and dashboards

  • Produce periodic sprint start and end reports from JIRA.
  • Monitor and maintain performance indicators (KPIs).

Project and team support

  • Support the project manager in administrative project management tasks: monitoring schedules, preparing meetings, tracking deliverables, and related tasks.
  • Support internal communication and inter-team follow-up.
  • Support business analysts in the occasional performance of functional tests.

  • Be willing to take on any other support tasks aimed at optimizing team productivity and efficiency.

What we are looking for
  • College diploma in administration, computer science, or equivalent.
  • 2 to 3 years of experience supporting a project management team.
  • Excellent command of Microsoft 365 (Excel, Teams, Outlook, SharePoint).
  • Good command of JIRA (tickets, dashboards, filters).
  • Proven ability to produce clear and structured reports.
  • General knowledge of Agile methodology (an asset).
  • Ability to structure work and respond to unforeseen events thanks to good anticipation skills.
  • Bilingualism, both spoken and written (communication in French is very important as our team is predominantly French-speaking, but communication in English is essential as we now serve a growing English-speaking clientele).
