Description
Reporting directly to the Executive Director of Cardiac, Critical Care, Neurosciences & Medicine and the Executive Director of Surgery, and Maternal Child Health. This position is responsible for the coordination and leadership of administrative and clerical duties associated with the South Health Campus Administration Office and supporting both of the Executive Director teams. Working with minimal guidance and direction, this position utilizes substantial skills to perform a wide range of specialized duties that provide direct administrative support to key Site and Corridor initiatives, projects, teams, and committees led by the Executive Directors. The project work is often complex in nature involving administrative task management & monitoring/tracking of multiple deliverables with specific timelines and outputs. This position also requires the preparation and development of agendas, minutes, follow up of action items arising from Committee minutes, drafting presentation outlines, memorandums, site wide communication emails, payroll, and various other documents as required, as well as file management. This position requires the ability to prioritize a diverse and demanding workload in order to meet timely and often competing deadlines. The role requires sound knowledge of the organization & site and the ability to navigate within AHS in order to support the needs of the Executive Directors’ offices. Additionally, this position requires the incumbent to successfully use discretion to address external/internal complaints received and/or escalate issues or challenges where there may not necessarily be an established process to guide next steps. Expert knowledge and experience in computer systems (Microsoft Office, Adobe, RMS, E-people) is a necessity.
As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of post-secondary education (e.g. certificate in office or business administration).
Require excellent verbal and written communication skills.
Previous experience working alongside a senior team, healthcare setting would be preferable but not essential. Highly developed communication and negotiation skills.
