Description
The Administrative Support IV provides advanced administrative and clerical support to management and program operations. This role requires independent work with minimal supervision while responding to direction as needed to deliver timely, accurate, and effective support to the Manager. The incumbent works collaboratively with administrative and management teams to support program goals in a professional, respectful, and culturally appropriate manner aligned with AHS values. The position requires the ability to manage multiple and competing priorities, work effectively under pressure, and exercise sound judgment, discretion, and independent decision making. The successful candidate demonstrates strong communication and interpersonal skills, adaptability, problem solving ability, and a high level of accuracy and accountability. Responsibilities include handling confidential and sensitive information in accordance with AHS policies and privacy legislation; staff scheduling and rotation development; calendar, meeting, and materials management; preparation of reports; meeting coordination; financial activities such as expense claims and payroll processing; and records management. The role also involves addressing escalated administrative issues where procedures may not exist and interacting with internal and external impacted parties across a broad range of complex administrative functions.
As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Some post-secondary education.
Completion of postsecondary education (e.g., coursework in business administration, medical office administration, or a related field). Experience supporting management in a complex environment. Demonstrated ability to handle confidential and sensitive issues in accordance with AHS policies and applicable privacy legislation. Excellent communication and interpersonal skills, with the ability to adapt to and manage multiple priorities, while maintaining a high level of accountability and professionalism. Experience with complex staff scheduling and rotation development. Intermediate to advanced proficiency in computer technology and Microsoft applications, including but not limited to Microsoft Teams, Word, Excel, Outlook, OneNote, PowerPoint, and SharePoint.
