Reporting to the Program Manager, Acute Care Coverage Program Office, the Administrative Support IV plays a pivotal role in ensuring the seamless and efficient operation of the office. This position requires a high level of independence, discretion, and professionalism while managing a broad range of specialized administrative responsibilities. Key duties include providing administrative support to Associate Physicians (APs) and Physician Assistants (PAs), particularly coordinating and scheduling AP and PA coverage across the five acute care sites within the Calgary Corridor. The successful candidate must have experience with timekeeping duties and a strong understanding of scheduling within a fast-paced acute care hospital environment, including shift requirements. The role also involves providing comprehensive administrative support to the Program Manager, including managing calendars, scheduling meetings, preparing agendas, recording minutes, maintaining a bring forward system to track action items, and attending meetings as required. The Administrative Support IV plays a critical role in supporting efficient clinical and clerical operations and works collaboratively with Associate Physicians, Coordinators, medical leads, and site leads to coordinate scheduling, ensure timely follow up, and support overall program operations.

As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Some post-secondary education.

High School Diploma or Diploma in Healthcare. 3-5 years of progressive administrative experience in a healthcare environment with strong analytical and problem-solving skills. Extensive knowledge of AHS systems and processes and proficiency in Microsoft Office (Outlook, Excel, Word, Access). Excellent communication, negotiation, and organizational skills. Able to work collaboratively while remaining highly self-directed and effective at managing priorities.

3-5 years of progressive administrative experience in a healthcare environment, with strong analytical and problem-solving skills. Extensive knowledge of AHS systems and processes and proficiency in Microsoft Office (Outlook, Excel, Word, Access). Excellent communication, negotiation, organizational, and problem-solving abilities. Able to work collaboratively while remaining highly self-directed and effective at independently managing priorities.
