Description
Reporting to the Unit Manager for Ambulatory Physical Medicine and Rehabilitation (Physiatry) Clinics, under minimal supervision, the Admin Support IV is a member of an integrated team, performing multiple clerical duties in the outpatient/community-based rehabilitation clinics. Duties include daily communication with patients and physicians, checking in patients, processing referrals, scheduling appointments (booking, informing, confirming), processing physician orders, medical billing, typing correspondences, processing forms, ordering supplies, clinical data entry, filing, and other related duties. The incumbent will be required to use initiative and independent judgment while providing direct organizational, administrative, and scheduling support. Daily work activities are varied and diverse and will involve communication and collaboration with a multidisciplinary team to organize/maintain complex schedules and achieve objectives while under pressure to handle multiple tasks, changing priorities and sometimes short deadlines.
As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Some post-secondary education.
Completion of a Medical Office Assistant and Medical Terminology course or equivalent training is required. Experience in an ambulatory / outpatient medical clinic is required. Intermediate computer skills, with ability to demonstrate proficiency in the use of personal computers: Windows XP, Microsoft Office (Word and Excel), Outlook Access (email and calendar) required. Experience working with Connect Care is required. Excellent verbal and written communication skills are required. Must be able to communicate clearly with patients, families, physicians and staff. Able to work well with others (i.e. team player) and problem-solve issues that may arise. Strong initiative, conflict resolution and time management skills are required. Proven ability handle multiple demands, work under pressure and handle competing and frequently changing priorities within required deadlines. Able to request/accept verbal or written direction. Must be sufficiently flexible to accept re-allocated workload as per operational requirements. Physical Abilities: Prolonged sitting, prolonged standing may be required, some repetitive movements involved in day-to-day work activities, ability to lift or move up to 10 lbs. Experience in Netcare, WFM and People soft systems is preferred. Demonstrated self-improvement or continuing education in related field is preferred.
