Benefits Administrator
Temporary Position - Effective Immediately
(12 month contract)
Exempt 4 - $35.00 - $44.85 hourly rate
Position Summary:
Under the direction of the Manager, Accounting, Payroll and Benefits Services, the Benefits Administrator performs various duties to assist and support the delivery of benefits to Board employees. The Benefits Administrator plays a key role in managing and administering the organization’s benefit programs for both unionized and non-unionized employees. This position ensures the accurate processing of benefit transactions in SAP, adherence to collective agreements, insurance plan requirements (e.g., OTIP), and all applicable employment and benefits-related legislation. The incumbent is responsible for resolving complex benefit issues including overpayments, retroactive adjustments, and determining appropriate corrective actions in consultation with relevant parties.
Major Responsibilities:
- Administer employee benefit plans (e.g., health, dental, life insurance, pension) for union and non-union employee groups in accordance with collective agreements, Board policy, and legislation.
- Process and audit benefit-related transactions in SAP, ensuring timely and accurate entries for enrollments, terminations, leaves, and changes in coverage.
- Liaise with third-party benefit providers (e.g., OTIP), union representatives, and internal departments to ensure seamless administration and interpretation of benefit programs.
- Monitor and resolve benefit-related issues, including overpayments, retroactive adjustments, and discrepancies; determine next steps in collaboration with Payroll and HR.
- Interpret and apply collective agreement provisions, OTIP guidelines, and applicable legislation (e.g., ESA, Human Rights Code, Income Tax Act) related to employee benefits.
- Maintain accurate records and documentation in accordance with audit and privacy requirements.
- Support employee inquiries by providing guidance and information regarding benefit entitlements, processes, and problem resolution.
- Collaborate with other HR team members to support benefit-related aspects of onboarding, leaves, terminations, and retirement processes.
- Contribute to continuous improvement of benefit administration processes and system enhancements within SAP.
- Prepare and analyze reports related to benefit costs, trends, and compliance as required.
Qualifications and Experience:
- Completion of 2-year College Diploma in Administration/ HR Benefits or related field.
- Up to 2 years of progressive experience in benefits administration, preferably in a unionized public sector environment.
Skills and Competencies:
- Strong working knowledge of benefit plans, collective agreements, SAP HR/Payroll systems, and relevant legislation.
- Demonstrated problem-solving skills with the ability to manage sensitive and complex issues with discretion and sound judgment.
- Excellent organizational, communication, and interpersonal skills.
- High level of accuracy and attention to detail.
