Department mission
The mission of the Culture, Sports, Leisure and Community Development Department is to improve quality of life by promoting accessibility, participation, and integration of all citizens through the provision of excellent community, cultural, sports and recreational facilities, activities, and services.
Responsibilities and goals associated with the position
Reporting to the Manager, the jobholder will perform technical tasks required for purchasing, organizing, preserving, using, and circulating document resources, as well as for using and maintaining equipment in the City Library.
The jobholder’s main responsibilities are as follows:
- Organizing and updating supplier files and trade catalogues, and communicating their contents to the people involved;
- Contacting document suppliers, sending orders, and approving invoices for payment sent to the manager responsible for the budget;
- Updating order and membership files, notifying suppliers about late orders, and ensuring price and delivery errors are corrected;
- Receiving documentation in the departments and branches and integrating the documents to the collection;
- Classifying documents and scanning periodicals according to instructions;
- Identifying authors, creating identification cards, and preparing the document description catalogue;
- Performing various technical tasks related to updating the bibliographic framework of subject headings;
- Performing bibliographic searches, grouping together documentation requests, and verifying their bibliographic data;
- Selecting volumes to bind or repair, and grouping together periodicals in order to bind them;
- Assisting users by answering common information requests,
- Coordinating and supervising the activities of employees assigned to various technical support tasks
- Assigning tasks, ensuring deadlines are met, and providing advice to staff in complex or contentious cases;
- Ensuring the employees under their responsibility behave appropriately, warning them of any breach of conduct and, if needed, referring them to their supervisor;
- Verifying films and other audiovisual documents and recommend them for repair or rejection when necessary, and performing searches regarding innovations in audiovisual equipment when necessary;
- Loaning documents, books, and other resources to various organizations, as well as tracking and following up on these documents;
- Organizing filing cabinets for additional documentation (brochures, newspaper clippings, articles, etc.) using a filing system and filling out required file cards;
- Drafting signs and instructions for users, checking directional signs for users, and helping with activities organized by the Library;
- Keeping an inventory of material and equipment used in their work unit, ensuring they are properly maintained, and creating order lists as needed;
- Helping with inventory and formatting bibliographies;
- Organizing activities for Library users upon the request of their immediate supervisor;
- Using various office technologies as needed to carry out certain tasks related to the position while using all appropriate software;
- Performing all other related tasks.
