Job Description:

The Research Coordinator will be under the supervision of Dr. Samir C. Grover and coordinate research studies, drive innovation projects, and perform administrative duties for the Grover Lab and/or related programs (such as “Summer of Vibes” and the Research Institute Student Experience (RISE)). This position encompasses a wide range of research activities focused on medical education, simulation, gastrointestinal endoscopy, and innovation projects. The coordinator will contribute to projects that leverage artificial intelligence (AI) and data-driven methods.

The Research Coordinator will support the Grover Lab and related departments (Research Institute, Education) under the instructions of Dr. Grover and/or the Grover Lab Research Manager. This position will coordinate and execute research activities focused on medical education, simulation, and endoscopy innovation, including projects that leverage artificial intelligence (AI) and data-driven methods to improve teaching, learning, and clinical outcomes.

The coordinator will play a key role in developing, implementing, and evaluating research studies aligned with the Grover Lab’s vision to advance evidence-based education and technology-enhanced learning in medical education, and gastroenterology/endoscopy. In addition to research coordination, the role will oversee the Research Institute Student Experience (RISE), manage volunteers involved in research projects, and organize summer events such as courses, workshops, or demo days. The coordinator will help manage the Grover Lab website and social media presence to promote research impact, outreach, and knowledge dissemination.

Responsibilities:

Research/ Study Activities:

  • Review study documents and understand required procedures (protocol, operations manuals, lab manuals, data entry guidelines)
  • Responsible for conducting and documenting recruitment and screening activities and obtaining informed consent
  • Documents retention numbers and identified possible factors impacting recruitment and retention and work with researchers and team to develop and execute plans
  • May act as primary points of contact for research participants
  • Completes review of medical records for participant data collection
  • Conduct delegated study procedures/tasks (e.g. sample collection and processing, administering questionnaires and interventions, etc.) and document (e.g. in source)
  • Completes Case report forms/ data entry and performs quality control checks to ensure accuracy and integrity of data collection
  • Manages participant study files

Research Related Administration & Coordination:

  • Explore, compile, track, and manage grants applications relevant to Grover lab and/or RI activities
  • Assist with REB submissions and feasibility assessments
  • Assist with grant process, prepare forms budgets, etc.
  • Assist in the collection and maintenance of regulatory documents
  • Helps to maintain research files and study and/or research program specific databases and file management systems
  • Prepares data sets for analyses
  • Communicates regularly with research staff and investigator to provide updates
  • Liaise with medical/health professions education coordinators to gather information and plan for studies that require learner participants (students/residents/fellows in health professions programs such as medicine, nursing, etc.)
  • Monitors and reports on study deadlines and consults to prioritize accordingly
  • Assist with preparing materials for proposals, progress reports, presentations, publications
  • Assist in analysis of qualitative and quantitative data and interpretation of results
  • Assist with manuscript submission including creation of tables, figures, proof reader, preparing cover letters, document coordination, signature process, etc.
  • Schedules and attends research meetings, including preparing agendas and meeting minutes
  • Monitors progress and deadlines of research activities
  • Assist in preparing for monitoring visits, audits and inspections
  • Onboarding Volunteer students

Managing and Supporting Summer Program/Volunteers:

  • Lead the planning, recruitment, onboarding, and evaluation of students in the RISE Program.
  • Supervise and assign day-to-day tasks for summer students and volunteers, ensuring that their work aligns with ongoing research projects.
  • Support learners in data collection, literature reviews, and data annotation tasks related to AI and simulation-based research.
  • Develop orientation materials, project guidelines, and schedules for learners and volunteers.
  • Coordinate training sessions, mentorship meetings, and project milestones with the Principal Investigator and research staff.
  • Maintain volunteer and student records in accordance with SHNRI’s volunteer management and research ethics requirements.
  • Plan and execute RISE events, including demo days.

Social media management and website upkeep:

  • Maintain and update the Grover Lab website with current projects, publications, and AI-driven research outcomes.
  • Create and manage content for lab social media platforms (e.g., X/Twitter, LinkedIn, Instagram) to highlight research findings, awards, and academic opportunities.
  • Collaborate with SHN Research Institute Communications to ensure content aligns with institutional branding and media policies.
  • Monitor engagement analytics and develop communication strategies to strengthen visibility and knowledge translation.
  • Design promotional materials for events, conferences, and recruitment campaigns.

Other Duties:

  • Performs other duties and provide administrative support as assigned and required

Requirements:

  • Undergraduate Degree in science and/or health related
  • Excellent communication skills, both verbal and written, with the ability to effectively communicate complex information
  • Expert in Microsoft office products
  • Familiarity with, or experience in, using commonly used AI tools/websites
  • Experience in quantitative research methods (study design and basic statistical analysis)
  • Strong project management and problem-solving skills
  • Outstanding organizational, planning and time management skills
  • Proven ability to lead and collaborate effectively
  • Proficient in managing multiple competing priorities
  • Superb public speaking and presentation skills
  • Exceptional attention to detail
  • Ability to coordinate multiple tasks and meet tight deadlines

Nice to Have:

  • Master’s degree in science and/or health related
  • Certification in Clinical Research or Project Management
