Background:

The Corporate Real Estate (CRE) Project Management (PM) team currently uses a customized version of Archibus Capital Project Management software to manage the end-to-end delivery of construction and other real estate projects. The current system has been in place for approximately 10 years and has its shortcomings. Therefore, the team is seeking to scan the market through the Request for Proposal (RFP) process to identify whether there is a preferable solution.


The current solution is considered the authoritative resource for project management records today and has a record retention policy of active + 15 years. CRE is an embedded function within the organization, and our size and specialty mean that this software is considered “business owned” and does not receive much enterprise operational support. The Analytics & Technology Systems (ATS) team within CRE is accountable for procurement, governance, administration, enhancement and user support for this software. We have already completed work with a cross-section of software users to document business requirements.


Job Description

Reporting to the Director, Analytics & Technology Systems, the IT Project Manager will play an integral role in leading the RFP phase of this project spanning approx. 10-12 months. Depending on the outcomes of this phase of the project, there may be an opportunity to continue to provide support through Phase 3 Implementation.


The ideal candidate will demonstrate outstanding organizational and communication abilities, coupled with a proven talent for cultivating effective relationships with both users and internal teams, such as procurement, information security, and IT architecture. Project management skills will be used to support collaboration and deliver clarity across technical and non-technical stakeholders. Additionally, your experience in application transition management will enable you to establish a robust framework that informs sound implementation recommendations.


This phase will include the following key activities:

• Supported by SL procurement, issuing the RFP

o Identifying vendors to be considered

o Transposing business requirements into RFP language

o Developing evaluation criteria

o Gathering and communicating responses to vendor questions

• Vendor Selection Process

o Leading vendor response review and evaluation

o Facilitating and leading any deep dives with short-listed vendors (e.g. demos/sandbox testing)

o Acting as a key business stakeholder in contract negotiation and internal governance activities

• Develop Implementation Recommendations

o Implementation timeline, scope, guidelines, and recommendations for any post-implementation integration

o Developing a migration strategy with special attention to record retention and any contract extensions that may be required on current solution

o Identifying and engaging any consultant/contract resources necessary to support migration and a critical eye on solution on-boarding project plan

o Order of magnitude (OOM) implementation budget that considers the aspects described above


What will you do?

  • Develop team, vendor, and client relationships by providing excellent communication and successful project execution
  • Effectively manage project changes, risks, issues and actions as project scope and requirements evolve during execution
  • Manage project budget and other artifacts through the project life cycle while ensuring compliance for both internal and external audit
  • Ensure the contract reflects functional, technical and service delivery needs
  • Monitor and report project outcomes and progress, while ensuring transparency and alignment with relevant stakeholders; create and deliver steering meeting presentations to executive stakeholders
  • Contribute to process improvement initiatives; identify and resolve obstacles or issues that may impede the project team(s)


What do you need to succeed?

  • Program management of initiatives consisting of vendor and third-party software configuration and implementation, software enhancement and application transition management
  • Vendor management experience - including RFP processes, contract negotiations, and implementing support agreements (incl. service levels)
  • Demonstrated success in mentoring and coaching teams to successfully meet project requirements
  • Excellent communication and interpersonal skills, including active listening, facilitation, and the ability to build strong relationships with stakeholders at all levels
  • Possess exceptional influencing and negotiation skills to navigate the intricacies of a larger complex organizational structure and build relationships with key stakeholders
  • Strong organizational, decision-making, and critical thinking skills, with the ability to navigate complex situations, manage dependencies, and resolve conflicts
  • Resilience to navigate and adapt to change, promoting psychological safety and well-being within the teams
  • Proven ability to establish and maintain robust project reporting frameworks, delivering clear, timely, and actionable insights to stakeholders through dashboards, status updates, and executive summaries that drive informed decision-making and accountability


What will be nice to have?

  • Certification(s) related to project management (e.g. PMP)
  • Familiarity with Project Management within the Corporate Real Estate industry and the software applications that support it
  • Experience with Archibus software is an asset, as this is the solution currently in place.
  • Experience with SAP ARIBA S4/HANA is a bonus, as future integration with internal financial tools may be a key component in software function consideration.
