Description
Our large, enterprise client is seeking a Senior Organizational Change Management & Communications Lead to drive the people-side of change for a multi-year Data Protection and Email Retention program.
This is an initial contract to Dec 17, 2026, with a possibility of extension. The successful candidate can work 100% remote following MST working hours.
Overview: The OCM & Communications Lead will be responsible for driving the people‑side of change on a multi-year Data Protection Program, with a dedicated focus on strengthening Records & Information Management (RIM) practices and leading the enterprise-wide Email Retention implementation. The role will ensure the organization understands why retention matters, how it supports compliant lifecycle management, and what actions they must take to align with retention schedules.
Must-Haves:
- 8+ years of experience in OCM, communications, or transformation roles within large, complex organizations.
- Experience supporting information governance programs (ideally Microsoft 365).
- Strong writing skills with the ability to translate complex concepts into clear, engaging, action-oriented messages.
- Demonstrated success leading change initiatives across global or multi‑functional environments.
- Familiarity with Prosci/ADKAR, enterprise communications practices, and formal project management methodologies.
Nice-to-Haves:
- Experience with Records & Information Management (RIM) practices.
- Experience with Email Retention practices and schedules.
Key Responsibilities:
- Develop and execute the end-to-end OCM strategy for the Email Retention project, ensuring readiness across all functions and regions.
- Conduct stakeholder analysis, impact assessments, and change risk evaluations for the transition to automated email retention and disposition.
- Define the change roadmap, including adoption milestones, communications sequencing, training needs, and reinforcement activities.
- Partner with global and regional leaders to tailor messages based on business processes and regulatory requirements.
- Create clear, concise, employee-friendly communications that explain the purpose and benefits of retention policies, what is changing, and what employees must do.
- Deliver executive-level messaging, talking points, and presentations for sponsors, SLT members, and governance committees.
- Develop multi-channel communication assets (email announcements, FAQs, Yammer/SharePoint posts, video scripts, infographics, quick start guides).
- Ensure communications emphasize the program’s goals: information hygiene, risk reduction, regulatory compliance, and AI readiness.
- Design and deliver training materials tailored to employees, people managers, super users, and IT support teams.
- Oversee development of job aids and micro-learning content for Outlook, M365, and retention processes.
- Coordinate with the Service Desk to ensure frontline staff can support user inquiries during and after implementation.
- Provide weekly status updates, adoption metrics, and readiness indicators for the Email Retention project.
- Contribute to Data Protection Program dashboards, highlighting communication reach, training completion, and sentiment trends.
