Description
M365 Migration Business Analyst to support enterprise content migration from file servers to SharePoint Online as part of a large-scale Data Protection and Information Management program, including governance, classification, and ROT reduction
Role:
- 100% remote
- Contract ending December 18, 2026 (possibility of extension)
Must have:
- Experience as a M365 Migration Business Analyst
- M365 Purview experience as it pertains to compliance, data classification, retention and sensitivity labeling
- Experience mapping and migrating data from file servers to SharePoint Online
- Experience working in a Records & Information Management (RIM) / data governance environment
- Experience identifying ROT (Redundant, Obsolete, Trivial) content and creating recommendations for disposal
Nice to have:
- Hands-on experience with data discovery tools (e.g., ActiveNav) for content analysis and ROT identification
- Experience with Power BI reporting and data analysis
- Exposure to M365 configuration and broader modern workplace tools
- Experience in large-scale enterprise migration or transformation programs
What you will be doing:
- As a Migration Business Analyst, you will work as part of a multidisciplinary project team to plan, design, and implement business solutions that support the migration of content from file servers to SharePoint.
- The role requires strong knowledge of business analysis methods and the ability to apply them effectively to solve complex business and information management challenges.
- You will work closely with business stakeholders, IT, Records & Information Management (RIM), and Modern Workplace teams to translate business needs into clear requirements and practical solutions. The Migration
- Business Analyst is expected to work effectively both independently and collaboratively, contributing as a team member or taking a lead role when required.
- This role requires adaptability, strong problem‑solving skills, and the ability to deliver outcomes in an agile environment while supporting governance, compliance, and change adoption objectives.
- Knowledge of information management best practice when completing information and content analysis, content discoveries, migration planning, configuration within M365, and identifying opportunities to reduce volume of content while enhancing experience and efficiencies.
- Analyze content for retention mapping or reconciliation to data classifications, sensitivity labels or summary reports.
- Facilitate workshops, interviews, and validation sessions to confirm requirements and design decisions
- Support change management activities by identifying impacts to business processes and user workflows
- Assist with development of business-facing communications, FAQs, and training requirements
- Lead requirements gathering with business units to understand current file server usage, folder structures, security models, and pain points
- Inventory and analyze existing file shares, including volume, content types, ownership, and business criticality
- Identify ROT (Redundant, Obsolete, Trivial) content and disposal candidates in collaboration with Records Management and business owners
- Document current-state processes, dependencies, and risks associated with legacy file servers
- Experience using a data discovery tool such as ActiveNav for configuration as well as analytics of data and recommendations in disposing of ROT.
- Create and update Power BI reports, M365 exports, scanning software exports and similar report analysis.
