Position Title: AI Portfolio Coordinator

Line of Business: Wealth Management - AI Center of Excellence


Duration: 11 months from start (Possibility of Extension)

Location: Downtown Toronto - Hybrid 4 days in office

About the Role

AI Portfolio Coordinator will focus on coordinating intake, tracking progress and outcomes, preparing dashboards and executive updates, scheduling governance forums, and ensuring documentation, risks, and actions are always current.

Key Responsibilities

• Portfolio Intake & Pipeline Coordination:

Log and triage AI ideas, maintain pipeline hygiene, and support sprint/capacity planning for squads; capture status, issues, and decisions in a single portfolio view.

• KPI & Dashboarding:

Build and refresh portfolio dashboards (Power BI, Tableau, Excel) covering throughput, cycle time, adoption, ROI metrics, and risk flags; publish recurring reports and ad-hoc analyses for leaders.

• Governance & Forums:

Coordinate agendas, materials, and minutes for AI governance councils and portfolio reviews; track actions, owners, and due dates to closure.

• Responsible AI & Controls:

Assist with Responsible AI checklists, model/agent inventory updates, compliance evidence collection, and audit readiness packages in partnership with Risk, Legal, and Data teams.

• Vendor & Contract Coordination:

Track third-party onboarding artifacts, statements of work, and deliverables; reconcile purchase order/budget line items with milestones and acceptance.

• Communications & Enablement:

Draft executive summaries, one-pagers, and FAQs; support internal training on portfolio processes, tooling, and self-serve reporting.

What You Bring

• 2-4+ years in portfolio/program coordination, PMO, or business/operations analyst roles in financial services or regulated industries

• Proficiency with PowerPoint, Excel, Power BI, SharePoint (or Tableau), and collaboration suites (O365, Jira, Confluence); comfort with SQL for lightweight data pulls is an asset.

• Strong data visualization, storytelling, and executive-ready reporting skills; attention to detail with large datasets.

• Familiarity with portfolio governance, intake-to-prototype/POC workflows, and change/issue controls; experience preparing audit-ready documentation.

• Awareness of AI/ML concepts, model/agent lifecycle basics, and Responsible AI considerations (training provided).

• Clear communicator who can coordinate across business leaders, product/delivery, risk/compliance, and vendors; excellent meeting facilitation and follow-through.

Nice-to-Have

• Exposure to AI/GenAI initiatives (e.g., coordinating testing, training, or launch of LLM or agentic workflows).

• Experience maintaining model/agent registries or portfolios and publishing adoption/performance scorecards.

• Prior banking or asset/wealth portfolio coordination experience (pipelines, renewals/annual reviews, compliance artifacts, or similar coordination tasks).
