QUALIFICATIONS
* Grade 12 education (MB Standards)
* Post-secondary education in a health-related discipline relevant to the position
* Completion of a recognized Medical Terminology course or program.
* A willingness to complete and practice Non Violent Crisis Intervention (NVCI)
* A willingness to complete and practice SafeTALK (Suicide Alertness for Everyone)
* One (1) year of unit clerk experience within 5 years
* Other combinations of suitable education and experience may be considered
* Current Basic Cardiac Life Support (BCLS) Training as delineated in Prairie Mountain Health Policy PPG-00002 CPR Training
* Proficiency with Microsoft programs (Outlook, Word, Excel, Access and PowerPoint), as well as Internet applications and other Information Technology
* Demonstrated organizational skills, and the ability to work independently
* Demonstrated problem solving and decision-making skills
* Demonstrated flexibility to facilitate changes in techniques and procedures in a changing environment
* Demonstrated knowledge and competence of skills and concepts related to the position

POSITION SUMMARY:

The Clerk III is responsible for maintaining an organized and efficient operating clinic for inpatients and outpatients. The position is a pivotal point for the clinic. Details entail scheduling of clients and clinicians including Psychiatrists, as well as communication, chart/file management and administrative responsibilities.

RESPONSIBILITIES:

Overview:

  1. Provides reception services for the Interventional Psychiatry Clinic
  2. Maintains and orders supplies
  3. Monitors and requests equipment/repair orders
  4. Operates computer, printer, telephone, fax, dictation equipment, scanner and other office equipment
  5. Review of health records at specified intervals for deficiencies i.e. signatures, missing reports
  6. Maintains appropriate filing to ensure rapid retrieval of health records and other documents.
  7. Manages and maintains electronic and/or paper files for the Interventional Psychiatry Clinic.
  8. Answers questions in regards to file location.
  9. Receive and file incoming referrals
  10. Collect complete and accurate demographic data
  11. Maintain statistics and data of treatment use and treatment series, including returning clients
  12. Receives, distributes and processes incoming and outgoing mail
  13. Maintains schedules for the clients accessing clinic
  14. Maintains schedules for nurses, technicians and Psychiatrists
  15. Maintains schedules for treatment rooms
  16. Records schedule changes in electronic scheduling systems
  17. Registration and associated processing on the admission/discharge/transfer(ADT) system following provincial and regional guidelines and practices
  18. Direct clients to appropriate clinical or treatment areas
  19. Assists clients, family and visitors with routine inquiries
  20. Transcribes dictation and prepares correspondence, reports and minutes as required.
  21. Other duties as assigned.
