Description
Under the supervision of the General Manager, the Executive Assistant provides administrative and organizational support. They are responsible for efficiently managing the calendar, official correspondence, document drafting, and coordinating internal and external communications in both French and English. The Executive Assistant also actively participates in organizational life by joining management committees and contributing to the implementation of special projects.
Main Tasks• Manage the General Manager’s calendar, organize meetings, coordinate travel arrangements, and ensure all necessary logistics are prepared;
• Draft, proofread, and format contracts, legal letters, resolutions, and other administrative documents;
• Maintain legal and corporate records in compliance with applicable standards and ensure proper confidential filing;
• Assist in organizing Board of Directors meetings and ensure documentation and logistical preparation;
• Participate in various management committees to maintain strong communication between the General Management and other departments;
• Contribute to the organization and implementation of special projects;
• Provide support to multiple departments, including the General Management and the executive leadership team;
• Monitor and control certain budgetary items in collaboration with the administrative or financial department;
• Draft and distribute meeting minutes and ensure follow-ups on decisions made by the management.
• College diploma (DEC) in Legal Techniques, Legal Secretarial Studies, Administration, or any other relevant field;
• Experience as a Legal Assistant (major asset);
• Relevant experience in a similar position (3 to 5 years);
• Excellent command of French and English, both spoken and written;
• Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);
• Absolute respect for confidentiality and professional discretion;
• Strong organizational skills, attention to detail, and rigor;
• Professional attitude and discretion.
