We are seeking a creative, dynamic, committed professional to join our team:

HR ASSISTANT, ACADEMIC STAFFING

Location: OCDSB Administration Building; 133 Greenbank Road Nepean, ON

Position Status: 0.50 Part-time Term Assignment; September 1, 2025 - August 31, 2026

Hours of Work: Monday to Friday, 3.5 hours per day between the hours of 8:00 am - 4:30 pm (17.5 hours per week)

Affiliation: OSSTF District 25 - Educational Support Professionals (ESP)

Salary range: $26.23 to $32.67 per hour (Level 5)



Job Summary

Under the direction of the Team Manager(s), Employee Services and/or Human Resources Advisor(s), the Human Resources Assistant provides administrative support to the Employee Services Academic staffing teams, and serves as the frontline contact for all employee inquiries. Responsibilities include, but are not limited to,

  • Reviewing and processing a high volume of new hire packages in a timely and efficient manner; Creating and maintaining employee files;

  • Acting as a resource to departmental and other staff by providing general information on staffing/hiring process, terms and conditions of employment, collective agreements, handbooks, and policies and procedures;

  • Maintaining HR customer service telephone line; and forwarding calls/messages to appropriate personnel;

  • Preparing a variety of correspondence such as, offers of employment letters and information packages for new employees as well as retirement/resignation letters, and accompanying documentation;

  • Performing data entry and maintaining multiple spreadsheets and HR databases.



Qualifications

  • A community college diploma in office administration and 2-3 years of relevant experience. An equivalent combination of education and experience may also be considered.

  • Completion of a Human Resources Certificate and experience working in a human resources environment is an asset.

  • Knowledge of human resources processes, related Board policies and procedures, and relevant collective agreements and/or handbooks.

  • Advanced level of proficiency with Word and Excel in order to generate and track large volumes of correspondence and other related HR documents.

  • Proficient in other software applications including Google Docs/Sheets, HR/Payroll Integrated System (IPPS) and Apply to Education.

  • Essential to this position is the ability to organize and manage workload, multiple & conflicting priorities and demands while meeting daily and weekly deadlines.

  • Excellent interpersonal and communication skills required for exchanging, directing and/or providing general HR information to others using tact, diplomacy and discretion.

  • Protecting confidentiality, integrity and privacy of employee information and files.

  • Must be able to demonstrate initiative and use good judgment skills.

  • Ability to work in both English and French is considered an asset.

  • Demonstrates a commitment to customer service, and ability to work independently and with minimal supervision.
