Executive Assistant - Risk

The Opportunity

This position provides comprehensive administrative support to senior leaders within the Risk Division, ensuring seamless day-to-day operations. This role is instrumental in managing executive calendars, coordinating complex meeting logistics, arranging travel, and supporting the preparation of presentations and reports. The successful candidate will demonstrate exceptional organizational abilities, discretion, and adaptability in a dynamic, fast-paced environment.

Who You’ll Work With

Reporting to the Manager, Risk Office, you will be providing a wide range of administrative support to the Risk team in our Toronto office.

What You’ll Do
  • Manage and maintain the calendars of senior leaders in the Risk Division, ensuring optimal prioritization and alignment with divisional objectives and timelines.

  • Coordinate internal and external meetings, including scheduling, room bookings, agenda preparation, minute-taking, and follow-up on action items.

  • Maintain and regularly update the department’s calendars, including key milestones, deadlines, and recurring events.

  • Arrange complex travel itineraries and accommodations for senior leaders and divisional teams.

  • Coordinate group registrations for conferences and corporate events, including travel and lodging logistics.

  • Provide support in planning internal events, offsite meetings and team-building events

  • Compile, format, and edit PowerPoint presentations, reports, and briefing materials for internal meetings, as required

  • Track and process divisional invoices and prepare monthly expense reports in compliance with internal guidelines.ng events.

  • Act as a liaison for internal and external stakeholders, ensuring timely communication and a high level of professionalism.

  • Greet visitors, manage catering arrangements, and handle general inquiries with discretion and courtesy.

  • Collaborate with other administrative staff to improve cross-functional coordination and divisional efficiency.

  • Exercise sound judgment in managing calendars, prioritizing requests based on urgency, business need, and leadership availability.

  • Proactively identify time-sensitive matters and escalate as appropriate

What you’ll need

  • Professional certificate, College diploma or University degree.

  • Superior organizational and time-management skills, with the ability to manage multiple tasks and shifting priorities.

  • High attention to detail and commitment to accuracy.

  • Strong interpersonal and communication skills, with the ability to interact effectively at all levels.

  • Discretion in handling confidential and sensitive information.

  • Excellent MS Office Skills: Word, Excel and PowerPoint

  • Minimum of 5 years of progressive experience in administrative or executive assistant roles
