A career as a reception coordinator in our Calgary office means being the first point of contact within Corporate & Investment Banking, offering a warm and professional welcome to clients, guests, and colleagues. As a representative of the Bank’s corporate image, you’ll play a key role in supporting our Executive Assistants by collaborating on a variety of tasks with enthusiasm, precision, and a commitment to excellence. Your contribution will help our executive and administrative teams at Capital Markets save time and ultimately facilitate the achievement of business line objectives.
Your Role
  • Greet clients, guests, and colleagues warmly and professionally, acting as a liaison between them and internal teams.
  • Manage the reception area and meeting rooms: coordinate bookings, provide technical support, and arrange meals or beverages.
  • Coordinate the onboarding and offboarding processes for both interns and employees, ensuring a smooth and professional experience in collaboration with internal teams.
  • Help organize internal and client events such as closing dinners and lunch & learns.
  • Support internal teams with travel arrangements, orders, invoices (SAP Ariba), expense reports (Concur), and other administrative tasks.
  • Manage subscriptions, licenses, and contracts with vendors and suppliers.
  • Oversee kitchen maintenance and monitor office supply inventory, replenishing as needed.

Your TeamWithin the Corporate & Investment Banking sector, you’ll be part of a team of over 90 colleagues who work in an agile, proactive, and collaborative manner to seize opportunities, stay at the forefront of technology, and continuously improve processes.
You’ll collaborate closely with a dedicated group of Executive Assistants and Coordinators and report to the Section Manager, Corporate & Investment Banking. Our team stands out for its energy, strong sense of collaboration, and commitment to delivering exceptional service.

Prerequisites
  • High school diploma and at least five (5) years of relevant experience.
  • Proficiency in MS Office 365 tools (Outlook, Teams, Word, Excel, PowerPoint, SharePoint, OneNote, OneDrive).
  • Strong customer service orientation and attention to detail.
  • Excellent organizational and communication skills.
