We offer flexible alternative mortgage solutions, for clients who may not fit within traditional guidelines, including those who are self employed, commissioned, or with bruised credit.
The Manager, Mortgage Documentation draws on their expertise in mortgage fulfillment processes, documentation review, and operational excellence to lead and mentor a team of mortgage documentation officers. This position is accountable for managing mortgage documentation volume, accuracy, compliance, and timely file completion for conventional Alt-A mortgages, supporting a seamless experience for our broker network and our borrowers.
This key hands on leadership role is responsible for exceeding service level agreements and expected turnaround times. The role requires autonomy and authority to make decisions within scope, ensuring high quality mortgage documentation review and fraud prevention that supports funding readiness. Communication and collaboration are essential to achieving the strategic business objectives of Optimum Mortgage and delivering on our brand values.

Your role:
Mortgage Documentation Expertise. Fulfillment Process Excellence. Risk Management. Compliance. Customer Service. Coach & Mentor.
- Lead a high performing team responsible for prioritizing workloads, reviewing and validating supporting documents for residential mortgage financing-including income verification, down payment sources, appraisals, bank statements, credit reports, and more.
- Oversee vacation scheduling and manage absences by implementing effective coverage plans to maintain service continuity.
- Collaborate with internal and external partners to deliver an exceptional customer experience and demonstrate a shared sense of urgency.
- Support team members on regional and pod based strategies aimed at achieving departmental funding targets.
- Coach, develop, and performance manage (where applicable) a team of 5-7 Mortgage Documentation Officers and Senior Officers.
- Strengthen fraud prevention practices related to mortgage fulfillment and documentation, ensuring accuracy and risk mitigation.
- Drive continuous improvement by identifying and implementing process enhancements, tools, and strategies to increase documentation accuracy, reduce defects, and streamline fulfillment workflows.

Requirements:
- Diploma in business or comparable experience working within an Alt‑A lending environment.
- Minimum 5 years of financial services experience, including 2 years of leadership experience with a demonstrated history of exceeding performance targets, plus a minimum of 3 years of direct experience in mortgage documentation, fulfillment, and/or mortgage operations.
- Proficiency with provincial and federal mortgage regulations, including AML, privacy legislation, and fraud prevention best practices.
- Working knowledge of mortgage origination systems, document management tools, Outlook, Excel, and workflow platforms used in high volume mortgage operations.
- Skilled in process improvement, decision making, and risk mitigation, with the ability to manage escalations and stakeholder expectations diplomatically.
