A career as an Executive Assistant within the Prudential Standards and Oversight Office team at National Bank means joining a new and growing team and acting as a strategic partner to senior leadership. This role allows you to have a direct impact by helping structure ways of working, supporting a rapidly expanding team, and ensuring effective coordination in a dynamic, regulated, and constantly evolving environment-leveraging your autonomy, strong organizational skills, and ability to anticipate needs.
Your role
  • Proactively manage complex calendars for the Vice Presidency and senior leaders by quickly understanding mandates, priorities, and key issues to organize effective meetings.
  • Prepare, organize, and follow up on strategic and operational meetings, including document coordination, participation in select meetings, and swift execution of resulting actions and deliverables.
  • Support the entire team in managing sensitive communications and files, including drafting and adapting internal and external communications, as well as rigorously tracking requests and deliverables from regulatory authorities.
  • Coordinate business travel, expense reports, and the team’s administrative support activities in a context of shifting priorities.
  • Coordinate hiring, onboarding, and offboarding processes in collaboration with Information Technology and Human Resources teams.
  • Contribute to shaping the role and executive support practices by proposing continuous improvements within a growing team environment.
Your teamWithin the Prudential Standards and Oversight Office, you report to the Vice President and will join a recently established and expanding team. You will play a key role in the evolution of executive support practices by actively contributing to the structuring of the role and the optimization of ways of working. The team operates in a fast paced environment characterized by frequent change, significant regulatory requirements, and a strong need for collaboration, flexibility, and trust.

Prerequisites
  • High school diploma with a minimum of three years of relevant experience, or a college diploma with at least one year of relevant experience in administrative or executive support.
  • Demonstrated experience managing complex, fast changing calendars in a dynamic environment.
  • Proficiency with Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook.
  • Experience coordinating meetings, tracking deliverables, and managing files requiring rigor and structure.
  • Relevant experience in a regulated environment or involving the handling of sensitive information.
