Your role
- Proactively manage complex calendars for the Vice Presidency and senior leaders by quickly understanding mandates, priorities, and key issues to organize effective meetings.
- Prepare, organize, and follow up on strategic and operational meetings, including document coordination, participation in select meetings, and swift execution of resulting actions and deliverables.
- Support the entire team in managing sensitive communications and files, including drafting and adapting internal and external communications, as well as rigorously tracking requests and deliverables from regulatory authorities.
- Coordinate business travel, expense reports, and the team’s administrative support activities in a context of shifting priorities.
- Coordinate hiring, onboarding, and offboarding processes in collaboration with Information Technology and Human Resources teams.
- Contribute to shaping the role and executive support practices by proposing continuous improvements within a growing team environment.

Prerequisites
- High school diploma with a minimum of three years of relevant experience, or a college diploma with at least one year of relevant experience in administrative or executive support.
- Demonstrated experience managing complex, fast changing calendars in a dynamic environment.
- Proficiency with Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook.
- Experience coordinating meetings, tracking deliverables, and managing files requiring rigor and structure.
- Relevant experience in a regulated environment or involving the handling of sensitive information.
