A career as an Executive Assistant at National Bank, means acting as a trusted partner of the Chief Financial Officer and Executive Vice-President, Finance optimising her time and helping achieve her objectives and those of her business line. You provide high-level administrative support in a dynamic, highly collaborative environment and confidential. This role allows you to have a concrete impact through your discernment, proactivity and priority management.
Your job
- Manage the calendar wisely based on a rigourous analysis and a thorough understanding of the activities surrounding the Chief Financial Officer's role
- Handle your manager's email inbox by targeting emails that require proactive follow-up on various requests
- Coordinate internal and external meetings (committees, team meetings, one-on-one meetings)
- Organize travel and business trips
- Produce expense reports and process invoices
- Draft, translate or review internal or external communications
- Get involved in the community by contributing to special projects (e.g. philanthropy, fundraising, sponsorships, sector events) and ensure follow-ups
- Interact confidentially with senior management members and internal partners
Your team
You report directly to the Chief Financial Officer and Executive Vice-President, Finance within a team where rigour, collaboration and humanity are at the heart of interactions. You work alongside dynamic executive assistants, with whom synergy and mutual respect are essential.
Prerequisites
- A completed 3 year’s professional diploma or college diploma or equivalent academic background in a related field
- At least 5 years of relevant experience as an assistant to executives
- High level of judgment, professionalism, confidentiality and discretion
- Excellent presentation and communication skills, with the confidence and presence needed to interact with members of the management team, the Board of Directors and senior internal and external executives
- Strong autonomy, initiative, attention to detail, and urgency management
- Excellent knowledge of the Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and collaboration tools
- Excellent analytical and leadership skills
- A people-centric, positive and collaborative approach
- A disciplined, diplomatic, proactive and passionate personality
- Strong organizational skills and priority management in an agile context
- Ability to navigate ambiguity with a smile and manage emergencies calmly
- Comfortable with coordinating trips and events
- Fluent in English and French (oral and written) to interact with English-speaking partners and colleagues across Canada, United States, Europe and Asia
