Executive Assistant

To be successful in this role, the incumbent would provide specialized administrative services while performing further complex specialized administrative work in order to meet quality and service standards.

The incumbent will be a key resource person for two Regional Sales Teams (Central & Eastern Canada). They will provide high-level sales support to the Regional Sales Teams to help them meet regional objectives. They will also act as the primary liaison between Head Office, the Sales Team and intermediaries. Develops and maintains high levels of knowledge of relevant systems, legislation and products. May participate in the coordination of daily activities.

Position Responsibilities:


Provide administrative support for the two Regional Vice-Presidents (RVPs) and Team Member

  • Reporting requests (preparation of reporting spreadsheets) and non-standard reporting requests

  • Help create reports with the use of Salesforce.

  • Prepare and submit expense reports on Concur, reviewing AMEX change bills to ensure compliance with policies

  • Review expense budgets for other teams and report any discrepancies

  • Coordinate travel arrangements

  • Preparation of correspondence and presentation material (including Powerpoint slides)

  • RVP calendar management

  • Provide RVPs with vital information for meetings - reporting and other relevant documents as required Eyes and ears for RVPs while RVPs are out of the office

  • Anticipate issues and initiate appropriate actions, providing recommendations to ensure most effective use of RVP’s time


Handle Regional Events

  • Organizes and coordinates roadshows (book venues, organize marketing materials, track email invites, arrange travel schedules with PM’s)

  • Handles PM access - submits all requests to SLI for approval, works with sales team to fill agendas and coordinates travel.

  • Support and coordinate Regional Team Meetings

  • Organize client events - create invites for local events and acquire marketing approval


Work with the Management Team (RVPs & Sales Manager) on key initiatives

  • Acts as liaison for region and key head office departments (marketing, CS, product, compliance, SLI, HR)

  • Attend all SC/IC meetings and produce meeting minutes as required

  • Set up, prepare and maintain confidential files and reports

  • New hire preparation - coordination of new hire training, creation of new hire binder and coordination of computer access requests and relevant equipment. Train new hires on compliance policies, anti-bribery.

  • Submits all requests for co-op and charitable donations. Educates SSA’s on policies.

  • Assists in scheduling candidate interviews

  • Produces draft of Quarterly Business Plans for RVP to approve

  • Identifies and reports weaknesses and applies controls to mitigate financial and operational risks. Ensures compliance with regulatory requirements and internal policies.

  • Stays ahead of new and revised technical, administrative and product changes and processes as well as changes within the industry that affect the line of business.

General Day to Day Activities

  • Manage and update internal contact and organizational charts

  • Request cheque requisitions from Treasury department for invoices received

  • Vacation calendar tracking for region (updates RVP’s calendar)

  • Daily calendar management for the RVP/Sales Region

  • Requests for special supplies

Required Qualifications:

  • 2+ years of related administrative assistant experience preferred.

  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word).

  • Excellent meeting planning and interpersonal skills (planning, coordination, priority setting, task management and follow through)

  • Validated ability to manage complex calendars, travel arrangements.

  • Excellent written and verbal communication skills, with strong attention to detail.

  • Ability to work independently, anticipate needs, and exercise good judgment.

Salary range is expected to be between

$47,250.00 CAD - $78,750.00 CAD
