Job Responsibilities:

POSITION SUMMARY:

The Human Resources (HR) Administrator acts as a knowledge center for administrative activities and provides support to the Company through various HR programs and systems. As the first point of contact for employees, this role is responsible for addressing inquiries, providing guidance, and ensuring a positive employee experience. The HR Administrator requires a continuous improvement mindset and an exceptional customer service focus to help meet the needs of our Team Members.

MINIMUM JOB REQUIREMENTS:

  • Completion of a post-secondary HR Program
  • Minimum one (1) year experience in a similar HR administrative support role in a comparable work environment
  • Strong Knowledge in Microsoft Office (Excel, PowerPoint)
  • Strong verbal and written skills
  • Strong organizational skills and high attention to detail
  • Excellent customer service mindset
  • Experience organizing social engagement activities would be an asset
  • Demonstrate ability to effectively manage and prioritize multiple tasks simultaneously
  • Ability to work 8 hours/day; flexible hours and overtime to support shift schedules

JOB RESPONSIBILITIES:

Administrative and Employee Support

  • Serve as a first point of contact for employees with HR-related questions
  • Coordinate with other departments to resolve employee issues and manage HR projects
  • Coordinate training programs and maintain training records
  • Handle general administrative tasks including, filing, organizing, shipments, etc.
  • Assist in the planning, logistics of HR events, job fairs and meetings
  • Monitors and orders supplies for HR department and create purchase requisitions
  • Prepares monthly Team Member Meeting Slides and facilities dry-run meetings to review
  • Administers and facilitates HR Programs including Service Awards, Scholarship Program, Focus Groups, Coffee Chats, Recognition Programs, etc.
  • Maintains and updates employee communication screens

Record Keeping and Data Management

  • Maintain personnel files, keeping employee records accurate and up to date
  • Maintain HRIS to update employee data
  • Update organizational charts

Reporting and Analytics

  • Compile data and create reports for management and compliance purposes
  • Audit of employee records in company HRIS
  • Support reporting out on HR metrics such as, manpower, absenteeism, turnover, job changes, headcount, vacation entitlement, seniority, etc.

Onboarding and Offboarding

  • Support recruitment activities by publishing job openings and scheduling interviews
  • Responsible for full cycle recruitment for co-op students
  • Conduct New Hire Orientation
  • Support the administrative aspects of onboarding and offboarding
  • Support in administrative tasks for employees who are leaving the company
  • Requesting temporary team members from approved agencies in line with operational requirements
  • Coordinates the plant temporary team member requirements

Payroll and Benefits

  • Assist employees with general questions regarding their compensation and benefits
  • Lead annual benefit re-enrollment
  • Update employee direct deposit information in company HRIS

Compliance and Policy

  • Stay informed about labour laws and company policies
  • Assist in the development and enforcement of company HR policy updates and guidelines

Other Duties:

  • Works closely with HR team to develop strategies to ensure information is shared effectively with all Team Members, e.g., updates communication boards, internet, television feeds, etc.
  • Follows and complies with all Operational Procedures and Policies as outlined in the Employee Handbook, Quality and Environment programs (i.e., IATF16949, ISO14001)
  • Understands, promote and live by Magna’s philosophies and Employee Charter
  • Adheres to Karmax’s core values; integrity, respect, trust, honesty, fairness and loyalty
  • Follows Magna’s Code of Conduct and Ethics and related compliance policies.
  • Performs all duties in an environmentally responsible manner in accordance with the Karmax Systems Environmental Policy
  • Performs other duties as required

WORKER HEALTH AND SAFETY RESPONSIBILITIES:

  • Maintains safety standards of equipment and work area and perform all duties in a safe manner in accordance with the safety policies of Karmax Systems
  • Performs all duties in a safe manner in accordance with Section 28 of the Occupational Health & Safety Act and Regulation 851 for Industrial Establishments

Duties of Workers:

28. (1) A worker shall,

(a) work in compliance with the provisions of this Act and the regulations;

(b) use or wear the equipment, protective devices or clothing that the worker’s employer requires to be used or worn;

(c) report to his or her employer or supervisor the absence of or defect in any equipment or protective device of which the worker is aware and which may endanger themself or another worker; and

(d) report to their employer or supervisor any contravention of this Act or the regulations or the existence of any hazard of which he or she knows.

  • Office/plant areas and manufacturing environment
  • Required to perform sampling outside
  • Willingness to travel for training and meetings
  • Travel for training and meetings as required
  • Schedule flexibility to cover demands of department and a 3-shift operation
  • Physically able to perform the essential duties of the position

Salary Range: $55,000 to $65,000
