About The Opportunity
This is a unique opportunity to join the infrastructure group in a senior-level Legal Administrative Assistant role that goes beyond traditional support. The successful candidate will step into an elevated role that functions as a document and workflow project manager, supporting multiple lawyers on complex, long-term files. About The Position
Reporting to the infrastructure practice group, this role supports a team of lawyers working on major infrastructure and city-building projects. The Legal Administrative Assistant will manage document production and organization, coordinate billing and travel, and act as a key liaison between lawyers, clients, and internal departments. This position requires strong technical skills, excellent organization, and the ability to manage multiple priorities while maintaining accuracy and professionalism.
Key duties include:
- Editing, formatting, and revising agreements, correspondence, reports, and presentations
- Initiating documentation and correspondence on client files
- Managing calendars and scheduling meetings across offices
- Opening, maintaining, and closing client and matter files
- Maintaining efficient file management and bring-forward systems using iManage
- Coordinating business travel arrangements
- Liaising with billing teams for monthly account production
- Acting as a liaison between lawyers and internal/external clients
- Providing general administrative and departmental support as needed
The Requirements
Must Haves
- Legal Administrative Assistant (LAA) Certificate
- Minimum of 4 years’ experience in a business-focused Legal Administrative Assistant role (infrastructure experience is ideal but not required)
- Willingness to work in-office 4 days per week (1 day remote)
Nice to Haves
- Experience supporting infrastructure, corporate, or large project-based practices
- Advanced document production and project coordination experience
- Familiarity with iManage, SAP, Chrome River, or similar legal systems
Compensation
- Salary range: $54,000 - $75,000
- RRSP matching
