In this role, you will report to the General Manager supporting their day-to-day operations by managing a wide range of administrative tasks in a fast-paced, ever-changing environment.
Key Responsibilities
- Answer and route incoming phone calls, greet visitors, and provide professional customer service.
- Organize, maintain, and update physical and electronic files.
- Prepare and send invoices; assist with light accounts payable and accounts receivable tasks.
- Draft and format correspondence, reports, and other documents.
- Perform photocopying, scanning, and document preparation as needed.
- Assist with scheduling meetings, coordinating deliveries, and tracking project-related documents.
- Liaise with vendors, subcontractors, and clients as required.
- Support the team with ad-hoc administrative needs as they arise.
- 2-5+ years of administrative experience, preferably in a professional office environment.
- Strong proficiency with Microsoft Office Suite, particularly Excel and Word.
- Excellent communication skills, both verbal and written, with a professional and friendly demeanor.
- Ability to multi-task and adapt to shifting priorities-no two days will be the same.
- Strong organizational skills and attention to detail.
- Comfortable working both independently and as part of a team.
- Positive attitude and strong customer service orientation.
- Experience in the construction or real estate industry.
- Familiarity with CrewTracks, QuickBooks, and/or SiteDocs.
- A supportive and collaborative work environment.
