The Senior Real Estate & Construction Adminstration Coordinator will support key administrative functions of the Canada-wide Real Estate Portfolio. They will play a critical role in supporting real estate team initiatives and ensuring an effective support system for all aspects of our Lease Portfolio and Construction. They will organize and support execution of daily real estate administrative tasks and construction project timelines.

How YOU will make a difference:
- Maintain accurate and up-to-date records of all ongoing real estate & construction projects in the national portfolio management database
- Act as administrator for construction vendors and manage the vendor database to create construction vendor performance updates and support construction stakeholders through budgeting activities that provide visibility of real estate initiatives & internal stakeholders
- Ensure timely execution and circulation of all real estate department legal documentation, including all leases, lease renewals and amending agreements
- Administration of the Real Estate Management (REM) database system and Lease Payments system including all lease information, maintaining and updating site files including insurance certificates, lease abstracts, etc. in accordance with prescribed standards
- Create and maintain effective lease tracking database to ensure centralized access
- Support the creating and circulating Capital Expenditure Requests
- Initiate circulation and collection of all required insurance certificate work, coordinating with legal to ensure timely review and execution
- Coordinate internally to prepare ancillary real estate documents such as waiver letters, non-disturbance letters, etc.
- Support and provide meaningful input into construction vendor RFPs (in collaboration with Procurement)
- Initiate and \ or assist with the development of innovative market research and analytical work related to the company’s existing sites and potential site selection (in collaboration as needed with Business Development)
- Responds to external landlord and internal stakeholder inquiries with regard National landlord/tenant issues via Lease Payment box and ensures invoices are addressed and paid on timely basis (in collaboration with Finance)
What YOU bring to the role:
University Degree, BA or BCOM
3-5 years of experience in real estate administration
- Strong organization, communication skills and time management skills
- Ability to work in a fast-paced team environment
- Experience in portfolio lease administration processes and systems
- Basic knowledge of commercial building infrastructure and related systems
- Full proficiency with MS Office Suite (including Word, Excel, PowerPoint, Outlook), Docusign and G SuiteSuperior demonstrated understanding of the principles and processes for providing customer service, including strong written and oral communications with the goal of exceeding quality standards for services
- Strong organization, communication skills and time management skills
- Ability to work in a fast-paced team environment
