POSITION DESCRIPTION:

.In a context of sustained growth for the company and expansion of its real estate portfolio, new needs in management and coordination of services are emerging. Reporting to the Quebec Asset Maintenance Director, the candidate is responsible for coordinating all aspects related to service contracts for elevators and generators for all of our managed buildings, which will be assigned to them.


ROLE AND GENERAL RESPONSIBILITIES:
  • Assist all team members with daily and administrative tasks
  • Assist and collaborate with the immediate superior and other team members
  • Communicate daily with suppliers and analyze submitted bids
  • Communicate with operational teams and suppliers for follow-up of interviews and/or inspections
  • Conduct research, collect and compile data, complete certain reports and transmit relevant documentation to the relevant persons
  • Coordinate all monthly and annual inspections surrounding the service contracts under his/her responsibility
  • Follow up on files, monitor deadlines, send reminders, ensure that requested information is obtained within the prescribed timeframes
  • Management of service contracts and ensuring complete administrative follow-up
  • Read interview reports, ensure they are compliant and, if necessary, take corrective action
  • Update information related to service contracts in the department's various documents and tools
EXPERIENCE AND QUALIFICATIONS:
  • Excellent command of the Office suite (Word, Excel, Outlook, PowerPoint)
  • Vocational studies diploma (DEP) or college diploma (DEC) in administration, or equivalent
  • Bilingual competence in French and English, both oral and written
  • Experience related to one or other of the fields, elevators or generators (an asset)
