Job Summary

As the Development Assistant reporting to the Executive Manager, Development, you will prepare notification maps and lists of property owners and tenants affected by development applications and impacted by city-wide projects. You will perform a variety of clerical duties, including maintaining various logs. The successful candidate will have demonstrated experience in all forms of communication and strong organization skills. Experience working in office administration is an asset.

Duties and Responsibilities
  • Prepare notification maps and mailing lists for development applications, city-wide projects and Ontario Land Tribunal (OLT) appeals utilizing Notification Mailing List software (NML)
  • Coordinate posting of notices on City website
  • Assist Development Application Coordinators with circulations to Councillors and external commenting agencies
  • Maintain records of submitted application fees
  • Perform a variety of clerical duties, including mail collection and distribution
  • Process cheques and ETFs
  • Maintain divisional logs for Councillor inquiries and community meetings
  • Update distribution lists
  • Manage records of executed development related agreements
  • Upload and maintain Departmental and Councillor files with correspondence from residents expressing interest in development applications
  • Perform other related duties as assigned
Skills and Qualifications
  • Minimum Grade 12 graduation or equivalent
  • Post-secondary office administration courses are an asset
  • Minimum two years related experience working in office administration or a related clerical role
  • Capability of taking initiative and working independently, as well as in a team environment
  • Strong communication and organizational skills, with the ability to multi-task, prioritize and meet deadlines
  • Strong computer literacy required with experience in MS Office and Adobe Acrobat; experience with MAX, CATS, EDMS, Electronic Plan Submission software (ePlans) and Notification Mailing List (NML) will be considered an asset

Hourly Rate/Salary: $ 53,354.00 - $ 71,139.00
