Administrative Assistant, Manufacturing & Logistics Strategy

We are looking for an Administrative Assistant, reporting to the Director, NPD Off-Road Manufacturing, Logistics and Manufacturing Strategy, to provide administrative support to him and his team. In this role, you will maintain the agenda of the Director and the sector's governing bodies.  You will be an indispensable resource for all the department's various administrative requests and improvements.


YOU’LL HAVE THE OPPORTUNITY TO: 

 

  • Coordinate budget phases and support managers in managing their respective budgets;

  • Prepare meeting invitations, meeting reports, presentations;

  • Manage the Director's agenda on a daily basis;

  • Book travel for team members and complete expense accounts;

  • Welcome and integrate new employees (access requests, computer equipment requests, transmit various policies, respond to requests, etc.);

  • Ensure and coordinate technical logistics for certain events (e.g. workshops);

  • Monitor and follow up on various purchase requests;

  • Manage and process various information and confidential documents;

  • Work closely with other administrative assistants in the department to ensure team cohesion and share best practices;

  • Support various projects as needed.

 

YOU’LL THRIVE IN THIS ROLE IF YOU HAVE THE FOLLOWING SKILLS AND QUALITIES: 

 

  • College diploma (DEC) in secretarial, office automation or other relevant training;

  • Fluency in French and English to work with our partners outside Quebec;

  • At least 3 years' relevant experience;

  • Interest and/or experience in budget management;

  • Good ability to learn and anticipate needs;

  • Ability to multi-task and excellent ability to prioritize;

  • Resourcefulness and autonomy;

  • Thoroughness and attention to detail;

  • Team spirit and ability to work in a dynamic environment;

  • Good knowledge of Microsoft Office (Word, Excel, Powerpoint) and Google Suite.
