Qualifications:

• Grade 12 graduate or equivalent required
• Graduate of a recognized Medical Office Administration program required

Skill, Ability and Experience:

• Intermediate level proficiency using MS Office Suite products required
• Experience in Oracle Health’s scheduling order entry and patient registration required
• Experience using Medtroinc Paceart Optima System software required
• Knowledge of medical terminology required
• Fast, accurate keyboarding skills required
• Ability to compile, interpret and utilize statistical data required
• Ability to develop and maintain electronic and paper files for ease of retrieval required
• Ability to coordinate and support department and physician schedules to ensure timely patient access to care required
• Advanced communication skills (written and verbal) required
• Advanced customer service skills with attention to the patient experience required
• Experience with eway and DCM Flex - Online Forms ordering required
• Experience using UKG Scheduling System for staff scheduling required
• Training and experience as an Oracle Health Subject Matter Expert (SME) preferred
• Recent experience as a Medical Secretary is preferred
• Ability to organize logistics for meetings, educational and special events preferred
• Proficient in using virtual platform (Microsoft Teams, Zoom) to support virtual meetings and communications preferred
• Accurately take and transcribe meeting minutes, maintaining clear and organized records preferred

Principal Duties:

• Prioritize, monitor, and review patient referrals and waiting lists with the, Stroke Nurse(s) and/or Manager.
• Schedule patients for clinic appointments and for assessments/visits in various areas of the department, as appropriate
• Prepare and manage patient records/files in an organized system.
• Manage busy phone lines, voicemail, fax systems, and email accounts, channeling inquiries to the appropriate person or department
• Handle routine questions and feedback about services
• Creates and maintains weekly schedules for department / unit staff, ensuring accurate records of hours worked
• Development of program resources and materials (e.g., patient handouts, patient education binders, etc.)
• Purchases and tracks department / program resources and office supplies
• Supports the collection and tracking of program data
• Participates in department / program and hospital quality improvement initiatives
• Completes continuing education requirements as necessary
• Other related duties, which will include special projects, as assigned

Selection will be made on the basis of ability, experience and qualifications as per Article 11.04 of the SEIU Collective Agreement
