Description
Reporting to the Site Director at the Peter Lougheed Center, the Admin Support V will provide advanced level admin support which includes but is not limited to: managing the Site Directors calendar, minute taking, setting agendas, data entry, payroll, booking rooms, arranging meetings, sending out correspondence. They must demonstrate the ability to perform complex and diversified duties requiring independent judgment and confidentiality while showing initiative, good organizational skills, and the ability to work in a team environment. The successful candidate will have interactions with the PLC Executive Leadership team, site management and the administration support staff. Being the first point of contact within the Main administration office, the incumbent will be required to deal with a variety of requests/concerns from all AHS staff, families and patients; via phone, email and in person. Therefore, the incumbent requires the ability to function collaboratively within a team environment, have sound decision-making skills, conflict-resolution skills and superior interpersonal skills. Additional Responsibilities: Drafts and prepares a variety of documents (e.g. newsletters, agendas, minutes, presentations). Develops and implements changes to department policies/procedures as required by site-based committee work. Coordinates submission of required professional documentation for staff reporting to the Site director. Collects, validates, manipulates, and performs calculations on data or information from multiple sources and produces various types of reports (e.g. Connect Care, Tableau and RLS). Maintains and updates site Databases by making modifications and updating of information (e.g. On-Call rooms, equipment, and bed pool). Performs reconciliations of financial activities (e.g. Markview, Purchase Requisitions and iexpense).
As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of post-secondary education (e.g. certificate in office or business administration).
5 years of progressive administrative responsibility and experience within a large organization, preferably in a healthcare environment. Demonstrated proficiency in the use of computers and associated network and software applications including Microsoft Office (Excel, PowerPoint, Outlook and Visio) Adobe Professional, and AHS Financial and Human Resource Management Systems (e.g. iExpense, MarkView, Oracle, e-People, RMS, ESP & Payroll, Connect Care, Tableau). Ability to function independently and be directly responsible for appropriate projects/initiatives as required.
Working knowledge of Alberta Health Services systems and processes, department and/or divisional policies and procedures.
