Description
Reporting to the Manager, the Administrative Support III is responsible for performing a range of clerical duties to support the operations of the various diagnostic imaging areas at the University of Alberta Hospital, Stollery Children’s Hospital, Mazankowski Heart Institute, and the Kaye Edmonton Clinic. This position plays a key role in helping to foster a patient and family centered care delivery within a team environment by utilizing technology to facilitate communication with technologists, nursing, radiologists, inter-hospital departments, and other provider offices. This opportunity involves fast-paced direct and indirect patient interactions while maintaining confidentiality of patient information and providing a variety of clerical support and department duties. Contacts and advises patients and other care teams of upcoming appointment dates/times and any preparation necessary. The role of the Administrative Support III includes tasks such as tending to typical acute facility patient flow for multiple DI modality services, supporting various public facing reception desks, photocopying, faxing, assisting with image archiving, organizing office and clinical supplies, and fielding phone calls in order to address patient inquiries and relay messages appropriately. Accountable for learning department workflows, ensuring complete, accurate, and timely documentation, adapting to urgent prioritization of tasks or department needs, and communicating with colleagues and other departments. This is a weekday daytime position but with the possibility of a rotation change as operationally needed.
As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of Grade 12 or equivalent.
Clerical experience in an acute, fast-paced, time sensitive healthcare environment. Working knowledge of PACS (Picture Archiving and Communication System) systems and Connect Care (CC) platforms. Basic knowledge of Connect Care registration and appointment scheduling. Medical terminology or equivalent education. Proficient in using a computer, MS Word, Excel, Outlook, and SharePoint, as well as high volume phone calls, faxes, and in-person communication. Demonstrated maintenance of AHS Required Organizational Learning (ROL). This position sits for extended periods of time, may be required to travel between buildings on-site, supports patients in-person and over the phone, covers overtime and any on-call requirements, and works in high traffic interdisciplinary environments.
1yr recent experience in DI and Hospital Emergency departments. Experience on CC Radiant platforms. Ability to work under pressure, manage fast-changing priorities, respond and support emergent acute patient needs. Strong organizational, technical, interpersonal, accountable, problem solving and communication skills. Demonstrates reliability, initiative, good judgement, teamwork, and patient-focused care. Medical office assistant, hospital unit clerk, or equivalent certification recommended.
