Description
Reporting to the Senior Managing Director (SMD), the Executive Assistant (EA) provides comprehensive support to the executive and Global Funds team. This includes managing day-to-day operations, supporting complex initiatives, and acting as a key point of contact for internal and external stakeholders.
This role requires strong organizational awareness, sound judgment, and the ability to operate proactively in a fast-paced, collaborative environment. The EA will work with a high degree of independence, discretion, and professionalism, and will represent the SMD and team in various interactions across the organization.
Who You’ll Work WithYou will be part of the Equities team within the Investments division, focused on identifying and partnering on global investment opportunities.
In this role, you’ll work closely with the Senior Executive Assistant, collaborate with a team of Executive Assistants, and engage with a broad network of stakeholders, including senior leaders, business partners, and administrative teams across the organization.
What You’ll DoManage complex executive calendars, coordinating high volumes of meetings across time zones.
Build strong relationships with internal stakeholders, external partners, and administrative teams to ensure seamless coordination.
Partner with the Senior Executive Assistant and EA team to support planning, scheduling, and team priorities.
Prepare and refine executive materials (presentations, agendas, briefing notes) with a high standard of quality and accuracy.
Triage communications and proactively surface priorities to support decision-making.
Support executive-level meetings, including logistics, materials, and follow-ups.
Coordinate pre-reads, agendas, and access across Teams, SharePoint, and email.
Capture and track key actions and outcomes from meetings.
Manage expenses, invoices, and chargebacks, ensuring timely and accurate processing.
Coordinate domestic and international travel, including complex itineraries.
Plan and execute team events, offsites, and department meetings.
Identify opportunities to improve processes and leverage tools (e.g., Teams, OneDrive, SharePoint)
Provide flexible support as needs evolve in a dynamic environment.
Minimum of 5 years of administrative support or related experience, preferably supporting senior executives
Extensive experience managing a senior executive’s calendar, with strong understanding of organizational and divisional priorities
Advanced proficiency in MS Office (Word, Excel, PowerPoint) and a willingness to stay current with evolving technology
Strong communication skills, with the ability to convey complex matters clearly and concisely
Demonstrated discretion and confidentiality in handling sensitive matters and interactions at all levels
Ability to prioritize and make independent decisions using sound business judgment
Excellent time-management and organizational skills, with proven ability to multitask in a dynamic environment
Detail-oriented, with strong planning and coordination capabilities
Proven ability to work independently and take initiative, while also collaborating effectively across teams
Demonstrated diplomacy and tact in working with internal and external partners
A strong customer service mindset and a flexible, proactive “can-do” attitude
Willingness to provide occasional support outside of regular business hours, as needed
What we’re offering

The Base Salary range for this level is as follows:
$60,000 - $95,000.

Individual compensation and placement of this role in the range is based on different factors unique to each candidate, including but not limited to relevant experience, skills, demonstrated competencies, and internal equity as they relate to the role.Competitive compensation
