Role: Sr. Analyst, Lease Administration

Reports to: Manager, Lease Administration

Role Mandate:

Responsible for the day to day administration of operating store properties in the areas of monitoring lease provisions, assessing common area costs, site maintenance, corresponding and negotiating with landlords, providing lease renewal information as well as maintaining the lease tracking database, obtaining landlord consent and all other duties applicable to the ongoing operations of the property.

Accountabilities:

  • Review landlord cost statements for rent, percentage rent, CAM costs and other occupancy charges and negotiate with landlords to establish an appropriate cost allocation in accordance with the lease provisions
  • Interact with the construction, operations, maintenance, legal and finance departments where necessary, address landlord issues to ensure compliance with the lease terms and negotiate equitable resolutions of disputes
  • Administer the retail seasonal programs (i.e. garden centre’s) including negotiating with landlords as required and co-coordinating the municipal approvals necessary with the planning department
  • Prepare and provide all necessary documentation including estoppels certificates as required under the lease provisions, ensuring accuracy of information through dialogue with operations, construction, accounting and legal
  • Perform common area desk audits and complete in depth reviews when required
  • Monitor and ensure the timely renewal of all leases as required through the conduit of information between operations, the real estate representatives and landlords

Role Requirements:

  • Fully bilingual in both written and spoken French
  • 3-5 years direct experience in performing most of the various tasks related to diverse real property portfolio including some exposure to realty tax legislation and procedures or other areas where direct experience is absent
  • University or College Degree or equivalent designation in related disciplines
  • Excellent communication, negotiation and interpersonal skills
  • Significant organizational and prioritizing skills necessary
  • Some ability to travel when required
