Reporting to the Head of Customer Office Strategy & Execution, the Coordinator supports the day-to-day execution of Customer Office priorities across governance, communications, employee engagement, leadership events, and business operations. This hands-on coordination role ensures Customer Office initiatives, operating rhythms, communications, and engagement activities are delivered effectively and on schedule. The Coordinator prepares materials, tracks commitments, manages logistics, and provides operational support that enables Customer Office leadership to focus on strategic priorities and decision-making.
Key responsibilities include:
- Maintain Customer Office governance trackers, strategic initiative trackers, operating calendars, and leadership dashboards.
- Coordinate action item follow-up and accountability tracking for ELT meetings, Customer Leadership Team meetings, Town Halls, Business Unit Reviews, strategy sessions, and quarterly reviews.
- Prepare agendas, meeting materials, presentations, and post-meeting summaries for leadership forums.
- Track progress against strategic initiatives and escalate overdue actions when required.
- Support the development and execution of internal communication plans for organizational initiatives, transformation activities, and business updates.
- Draft leadership communications, newsletters, employee updates, recognition announcements, and other internal communications.
- Maintain Customer Office communication channels including SharePoint, Teams, newsletters, and digital content repositories.
- Coordinate employee engagement programs, recognition initiatives, site visits, employee listening activities, and culture-building events.
- Administer employee recognition programs including XBucks, service milestones, awards, and recognition campaigns.
- Coordinate Town Halls, leadership meetings, strategy offsites, employee forums, onboarding activities, and special events.
- Manage event logistics including invitations, facilities, catering, technology, speaker preparation, and event execution.
- Collect participation metrics, employee feedback, and event outcomes, and coordinate post-event follow-up activities.
- Support budget administration, invoice processing, purchase orders, expense reconciliation, and discretionary spending tracking.
- Maintain leadership contact directories, distribution lists, document repositories, and shared team resources.
- Support onboarding and offboarding administration in partnership with Human Resources and business stakeholders.
- Assist with the preparation of monthly operating review materials, scorecards, KPI reporting, and business updates.
The ideal candidate will possess:
- 3–5 years of experience in a coordination, communications, program support, executive administration, or business operations role.
- Strong organizational and project coordination skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills, with experience drafting professional internal communications and presentations.
- Proficiency with Microsoft 365 applications including SharePoint, Teams, PowerPoint, Excel, and Outlook.
- Strong attention to detail, organizational skills, and a proactive approach to managing responsibilities.
- Demonstrated ability to build relationships and collaborate effectively across multiple teams and levels of the organization.
- Experience coordinating events, meetings, employee engagement activities, or leadership programs.
- Sound judgment and discretion in handling confidential employee, leadership, operational, and financial information.
- Experience supporting budget administration, reporting, governance activities, or business operations is considered an asset.
- Post-secondary education in Business Administration, Communications, Public Relations, Human Resources, or a related field, or equivalent practical experience.
