Shared Health leads the planning and coordinates the integration of patient-centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

Position Overview

Reporting to the Manager Health Services, and under the general direction of Site Medical Manager - Pediatric Anesthesia and the Administrative Director, WRHA/HSC Anesthesia Program, the incumbent is responsible for providing effective, efficient administrative and secretarial support for the Pediatric Anesthesia Program. This includes support for the University of Manitoba Malignant Hyperthermia Registry, the Manitoba Cholinesterase Registry, University of Manitoba PGME Program Administrator, Pediatric Anesthesia Resident Site Co-coordinator, Pediatric Anesthesia Fellowship and Simulation Programs, Pediatric Anesthesia BLS and PALS, and the Pediatric Anesthesia Pre-Admission Clinic (PAC).

Duties include:

  • Scheduling of Pediatric Staff Anesthesiologists and Fellows for clinical service in the OR, off-Site areas, Anesthesia Pre-admit Clinics as well as call coverage. Ensuring that schedules are up to date in the Anesthesia Program scheduling system (VENTIS).
  • Coordinating activities of the Provincial Malignant Hyperthermia Registry and Manitoba Cholinesterase Registry, including the creation of genealogical family trees for these Registries as well as maintenance of the respective provincial databases.
  • General secretarial responsibilities including receiving all incoming correspondence, inquiries and telephone calls and preparing a variety of general and confidential correspondence, administrative and statistical reports.
Experience
  • Two years previous secretarial/administrative assistant experience required.
Education (Degree/Diploma/Certificate)
  • Complete high school education, Manitoba standards, required.
  • Successful completion of a recognized secretarial training program required.
  • A combination of education and experience may be considered.

Qualifications and Skills
  • Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.
  • Typing 50 wpm, medical terminology (pass mark 75%) required.
  • Demonstrated proficiency in the use of Microsoft Office (Word, Excel, Access, PowerPoint).
  • Experience with Ventis preferred.
  • Demonstrated proficiency in SAP preferred.
  • Proficiency with EPR preferred.
  • Familiarity with HSC internal structure, corporate policies and procedures, and physical layout preferred.
  • Excellent interpersonal skills required.
  • Excellent communication and interpersonal skills required.
  • Decision-making ability, good judgement, initiative, and the ability to prioritize and handle assignments from more than one individual is essential.
  • Must be able to function well under stress and effectively contribute to a team environment.
  • Must respect the confidentiality of clinical and administrative information.
Physical Requirements
  • High stress environment with a heavy workload; position involves many interruptions while performing tasks; organizational skills are imperative.
  • May involve travelling and working in different locations within HSC complex due to the fact that individuals work out of different locations.
