Shared Health leads the planning and coordinates the integration of patient- centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

Position Overview

Under the general direction of the Director of Project Design and Delivery and Director Planning, the incumbent is responsible for the timely and accurate provision of administrative assistance and office support services, required by the Department of Project Design & Development and Planning. This includes assisting in the organization and scheduling of meetings, compiling project reports into a presentation format including financials, graphs and schedule charts. Supports project managers in preparing, filing and tracking documents related to capital construction, tendering, awards, design, record drawings and leasing. Assists Directors and Project Managers with routine office administrative functions including paper and electronic filing systems, public tender postings, staff support including arranging technology and systems access.

Experience
  • Minimum of five years in a senior secretarial position, preferably in the architectural profession, construction industry or comparable government agency.
  • AMS (Advanced Medical System/Materials Management System) & SAP (Systems, Applications and Products) experience is considered an asset.
Education (Degree/Diploma/Certificate)
  • Complete High School education, Manitoba Standards, required.
  • Completion of a recognized secretarial and/or business accounting training program required.
  • Additional accredited training in supervision, administration, and/or office management courses preferred.
  • An equivalent combination of education and experience will be considered.

  • Demonstrated proficiency in the use of Microsoft Office (Outlook, Word, Excel, Power Point) required.
  • Knowledge of General Accounting required.
  • Typing 50 wpm required.
  • Must have excellent interpersonal, problem-solving, and organizational skills and be self-motivated, naturally assertive and persuasive.
  • Must have the ability to work independently and in a team environment.
  • Must have the ability to prioritize workload and meet deadlines.
Physical Requirements
  • Must be able to work effectively under stressful demands and frequent interruptions.
