Shared Health leads the planning and coordinates the integration of patient- centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.
The incumbent provides effective, efficient administrative support to the Director Communication Disorders and is responsible for the management of the department’s general office and supervision of secretarial/clerical staff (5.0 EFT’s). Duties include:
- Monitoring and assisting in the preparation and evaluation of the departmental budget, Trust Accounts, Variance Reports, ordering supplies and materials, and ensuring proper maintenance of equipment and facilities.
- Preparing routine correspondence, minutes, proposals, special projects, and confidential personnel and financial documents, and maintaining the departmental equipment and supply inventory.
- Supervision of five secretarial/clerical staff.
- Initiating all statistical and other reports, as required, from the Workload Measurement System.
- Designing forms, spreadsheets, and form letters; creating and maintaining databases and mailing lists.
- Three years previous related experience required.
- Previous supervisory experience required.
- Must have experience in the preparation, evaluation and monitoring of operating budgets.
- Excellent oral and written communication skills and excellent problem-solving skills required.
- Must have or be able to acquire within a reasonable period of time a thorough knowledge of occupational hazards and safety precautions and regulations applicable to the area of supervision.
- Complete high school education, Manitoba Standards, required.
- Successful completion of a recognized secretarial training program required.
- Additional courses in supervision/administration/management required.
- A combination of education and experience may be considered.

- Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.
- Typing 60-70 wpm required.
- Demonstrated proficiency in the use of Microsoft office (Word Excel, Access and PowerPoint) required.
- Medical terminology (pass mark 75 %) and knowledge of database management software required, i.e., InfoMed.
