The Information Systems and Technology (IST) department at the University of Waterloo provides information systems, technology, and services in support of teaching, learning, research, and administrative needs across campus. Within IST, the Departmental Systems group works with campus partners to plan, analyse, procure, implement, and support information systems to meet the needs of the University.

The Legal and Immigration Services (LIS) department at the University of Waterloo is dedicated to proactively supporting the mission, vision, and core values of the University by providing practical, objective, and sound legal advice to strategically identify and manage the University’s legal and immigration needs while creating and strengthening inclusive client-focused relationships.

This position is contingent on funding.

Responsibilities

IST is seeking an Information Systems Specialist to lead the implementation of Onit, an enterprise legal management system for matter management and legal spend, and its integration with iManage, a legal email and document management system. This role will provide business systems analysis, project leadership, and systems management for the LIS department. This role will analyse complex information systems and key business processes that span across the university and impact students, staff, and faculty. The successful applicant will work closely with LIS and other IST groups to implement, integrate, stabilize, and support LIS information systems. Key competencies for this role include advanced business and systems analysis, project management, product management, relationship building, customer service, creative problem solving, communication, teamwork, and knowledge of legal systems and legal office operational needs.

The Information Systems Specialist is directly involved in the life cycles of LIS systems across the department. The responsibilities of this role encompass a wide range of areas that currently include:

  • Information system planning, analysis, selection, implementation, integration, stabilization, and support
  • Conducting advanced business analysis for LIS
  • System configuration for permissions, reporting, and business process management (BPM) mapping and workflows
  • Project planning and management
  • Managing and advising on the LIS system roadmap
  • Change management, user training, system testing, and documentation
  • Vendor management
  • Tier 2/3 support of on-going LIS production systems, including advanced systems analysis skills required for complex technical resolutions for issues that may be time-sensitive and highly confidential, escalating to and working with third-party vendors as required
Qualifications
  • University degree required; or equivalent education and extensive experience
  • In depth knowledge of legal operations and legal systems required
  • Experience with Onit ELM and LSR, iManage, and BPM tools an asset
  • Experience with Microsoft Office applications in both Windows and Mac operating systems
  • Advanced business and systems analysis skills, including business process mapping and analysis, as well as comprehensive experience implementing and supporting complex and integrated information systems
  • Specific experience analysing legacy information systems and independently completing advanced fit/gap analysis to match future state business processes to information systems workflows and functionality
  • Proven ability to leverage strong leadership competencies in support of providing excellent customer service and strategic systems advice to non-technical leaders
  • Excellent problem-solving abilities along with demonstrated experience in project leadership, project management, and customer service
  • Advanced understanding of change management as it relates to information systems technology and processes
  • Expert level technical proficiency working with complex cloud- based software platforms and with advanced experience in system configuration
  • Must have excellent interpersonal, customer service, communication, organizational, research and analytical skills with proven ability to interact with co-workers, clients, and third-party vendors with tact and diplomacy
  • Ability to build and maintain positive relationships with colleagues and clients is key
  • Must work as part of a team within a busy and dynamic environment, with experience managing multiple tasks at once and/or quickly pivoting to a more urgent issue, ensuring the utmost discretion to maintain confidentiality as needed
  • Proven track record of taking initiative and delivering consistent outstanding results on projects and other work assignments
  • Specific experience using governance structures to manage issues, gain acceptance for changes, and guide information systems projects of various sizes to successful implementation
  • Occasional work outside regular business hours
  • Other duties as assigned
