The University of Guelph is currently planning to launch its first fundraising campaign since 2014. The campaign aims to expand on the University’s recent fundraising growth so that AA&D becomes a team that consistently raises $ 75 M a year by 2030 (a record $ 55M was raised in FY24/25). By aligning donor passions with the university's ambitious goals, the campaign will boost revenue, elevate the university's global profile, deepen donor relationships, and create a highly developed culture of philanthropy across the University community. Institutional leaders and volunteers will be highly engaged in advocating for the university's global impact and the vital role of philanthropy in achieving this vision.

Duties and Responsibilities

Reporting to the Finance Manager, Gift Processing and Records, the Senior Treasury Lead, is responsible for oversight and supervision of all donations (including reconciliation), as well as prompt and accurate processing of more complex donations, such as gift of shares, ETF/wire transfers, gift in kind, third-party donation gifts, vet clinic statements, and monitoring and setting up all complex gift pledges and planned gifts based on incoming gift agreements. This role includes mentoring and coaching of records and treasury staff to audit and fact-check their work to ensure accurate processing of donations, as well as reviewing and signing off on treasury remittances. This role also includes monitoring and reviewing grant accounts and the external bank account and working closely with Treasury to ensure prompt processing of donations.

This role supports the Finance Manager in a back-up capacity with personnel management support, and also supports the Records & Gift Administrators/Treasury Assistants in processing other donations as needed for back-up support during leaves, etc. (cheques, cash, credit cards, online donations, direct deposits, pre-authorized payments, payroll deductions), and recurring gifts for the University of Guelph in a timely fashion. This role requires analytical, interpretive, and sound judgment to evaluate and make recommendations on donations aligned to CRA guidelines. The role also requires a high level of proficiency and autonomy in managing and being considered a super user on multiple technology platforms and will be responsible to monitor and manage treasury information in Cannon (AA&D CRM), BBIS (through Blackbaud Merchant Services) platform, the vet clinic portal, and the Luminate Online (online e-communication/e-commerce) database.

The Senior Treasury Lead works autonomously to provide advice and interpretation of established policies/procedures and can escalate to the Finance Manager if there are any CRA regulation considerations. The position requires the analysis of varied and complex situations using application of judgement to them in order to safeguard donor funds and relationships. Given the complexity and volume of gifts received, this role is critical in supporting the Finance Manager to effectively manage the risk of non-compliance, minimizing the potential for loss of reputation and funding for the University.

AA&D’s annual processing of gifts (based on a three (3) year average) entails entering 16,000+ gifts approx. 11,000 donors. The three (3) year average value of these donations is $36+ million. Donations can vary from $2.00 to $20 million. The Senior Treasury Lead is responsible for oversight of these donations as well as generating precise records of several reports from various computer systems used on campus for University reporting, and Canada Revenue Agency (CRA) standards (including T3010 completion) for auditing. The Senior Treasury Lead also has a role in assisting the internal and external auditors and providing all the documentation requested for auditing. The incumbent works with AA&D Records Staff to ensure the personal information of the University’s donors and alumni are kept up to date while understanding the privacy needs and regulations of the University and our related Governments.

The Senior Treasury Lead must be service-oriented, with a strong focus on donor satisfaction and a client-oriented approach. In this role, the incumbent communicates and coaches staff in communicating in person, by phone, and via electronic and regular mail with donors (individuals and corporations), as well as with AA&D staff, Treasury and Central Accounting, and other employees throughout the University Campus.

Requirements

  • Undergraduate degree, a CPA designation or working towards a CPA is preferred (equivalent work experience will be considered)
  • At least 3-years experience in accounting or treasury operations in a non-profit/fundraising environment or experience with the CRA
  • Experience in processing charitable donation receipts and knowledge of CRA guidelines, as well as working with a CRM database is considered an asset
  • Excellent interpersonal, communication and relationship building skills, including past customer service experience is required
  • Excellent information management skills, including understanding data logic to structure reports for data oversight is preferred
  • Superior knowledge working in Word and Excel
