Duties and Responsibilities

Reporting to the Adminstrative Officer SES the academic and financial assisant will provide financial and academic support for faculty and staff across multiple units.

The assisant will support purchasing and accounting in the college with both departmental and research fund sources. They will be responsible for reviewing expense claims, preparing billings/invoices for various departments & subunits, completing billing journals, authorizing payment for goods & services, completing purchase orders, stock requisitions, cheque requisitions and other accounting entries in support of the departments.

They will support the college’s course based masters programs. Support will include application reviews and processing, communicating with prospective and existing student inquiries, maintain student records/data including awards, and providing administrative support to the units and CBM managers.

They will also support unit and college level intranets and process re-deployment via sharepoint.

They will be the primary backup for college financial clerks and will assist the academic assistants as required during peak periods.

Requirements

  • Two-year College diploma
  • Two years of office administration or clerical support experience in a fast-paced, service-oriented environment.
  • Experience in post-secondary education, student services, or academic administration with knowledge of financial and academic processes.
  • Skilled in prioritizing tasks, meeting deadlines, and managing daily workflows.
  • Strong administrative and customer service experience, handling inquiries via email, phone, and in person.
  • Proficient in scheduling meetings, managing calendars, and organizing events.
  • Experienced with confidential information, document management, data entry, and process improvement.
  • Comfortable with Microsoft Office Suite and adaptable to institutional systems.

Preferred

  • Excellent interpersonal, communication, and organizational skills.
  • Knowledge of University systems (WebNow, Experience Apps), SharePoint, Power Automate, MS Copilot.
  • Familiarity with UoG academic/financial processes and Tri-Council/OMAFRA grant purchasing rules.
  • Proficient in SharePoint and Microsoft Suite.
