Description:
The Technology Services/MEC Administration Assistant serves as the receptionist for the Muskoka Education Centre and provides comprehensive clerical support to the Technology Services Department. This role is responsible for managing technology purchase orders, parts inventory, and procurement documents, while also acting as the main contact for school technology purchasing. The successful candidate will also support professional development events, manage office supplies and mail services, and perform various duties as assigned. This position is a 12 month position and work during the summer months is required.
This position reports to the Chief Technology Services Manager and the Superintendent of Learning responsible for Technology Services.
Responsibilities:
- Provide comprehensive clerical and administrative support to the Technology Services department.
- Manage all aspects of purchasing and receiving, ensuring efficient procurement of equipment and resources.
- Oversee inventory control for all technology acquisitions, including new equipment, parts, and repairs.
- Maintain accurate and up-to-date pricing information for approved peripherals and consumables.
- Liaise with vendors directly and through various channels to obtain current pricing and product information.
- Ensure current pricing and specifications for approved technology equipment are accessible to staff via the Technology Services webpage on Our Dock.
- Serve as the primary point of contact for technology purchases initiated by schools and departments.
- Maintain digital archives for Ontario School Records, ensuring compliance with record-keeping standards.
- Act as the receptionist for the Muskoka Education Centre, serving as the point of contact for guests, deliveries, and inquiries.
- Manage events, including booking rooms, arranging catering, and coordinating with custodians for room setup.
- Serve as the staff contact for equipment for meetings and professional learning events held at the MEC.
- Order and maintain office supplies for the MEC.
- Maintain the organization of the MEC workroom.
- Support records management at the MEC.
- Maintain peripheral and technology lists updates on Our Dock for staff access.
- Prepare and circulate mail through internal courier, Canada Post, and external courier services.
- Handle heavy materials, managing incoming and outgoing deliveries between the receiving area and storage locations.
- Maintain confidentiality
- Perform other related duties as assigned.
- Secondary School Diploma plus short specialized courses (computer, office administration). Relevant work experience may be considered in lieu of formal computer training.
- One year of related experience
- Proficiency in Google Workspace and Microsoft M365.
- Working knowledge of procurement/purchasing applications.

- Planning and organizational skill
- A demonstrated ability to collaborate effectively within a team environment, contributing positively to shared goals.
- Strong written and verbal communication skills
- Ability to lift heavy items up to 50 pounds.
