Position Overview

The Philanthropy Coordinator provides the highest level of administrative support to the philanthropy team. They will monitor the activity of their assigned team member(s), primarily focused on the cultivation, solicitation, and stewardship of major donors and engagement with their hospital program area(s). They will assist their assigned Philanthropy Director(s) by scheduling and preparing for meetings, performing data entry, and other duties as required. The Philanthropy Coordinator will demonstrate exceptional client service in managing requests and inquiries from multiple stakeholders including Foundation & Hospital partners, as well as volunteers and major donors.

 

Key Duties and Responsibilities

 

As a Philanthropy Coordinator you will:

1. Team Support

  • Provide strong administrative support for Philanthropy Director(s) with internal (Foundation/Hospital) and external (donor/volunteer) meetings and materials planning and execution;
  • Coordinate and execute meeting logistics such as booking meeting rooms, arranging catering, and providing A/V support;
  • Prepare meeting materials including briefing notes, presentations, reports, leave-behinds, and other materials as required;
  • Engage with donors and prospects by supporting the Philanthropy Director(s) and team with organizing, coordinating and executing strategic donor engagement opportunities such as personalized and small-group events and tours;
  • Lead data entry and metrics management for Philanthropy Director(s) by ensuring donor and volunteer activity, such as call confirmations, contact reports, and follow-up actions are recorded promptly in systems, actioned on time and completed;
  • Assist Philanthropy Director(s) with Executive Office engagement according to established processes for timely execution;
  • Ensure Philanthropy Director(s) has sufficient information, research background and analysis to provide to volunteer and hospital partners to fulfill their fundraising responsibilities;
  • Provide first point of contact for donors, physicians and others seeking information regarding giving to Sunnybrook Foundation and Foundation activities;
  • Develop collaborative relationships across the Foundation in order to achieve Philanthropy team and Foundation-wide goals and objectives;
  • Represent philanthropy team on projects and committees as assigned; Provide administrative support in the Foundation office as needed, based on team schedule

2. Donor and Gift Data Management

  • Develop and maintain a deep understanding and expertise in the use of the Foundation's donor database, corporate intranet, fund and fundraising priority portal, and other collaboration platforms, and acts as a team champion for processes.
  • Prepare major gift administration forms, including new pledges, pledge payments and one-time gifts;
  • Perform all data-entry, coding, uploading and filing and information management pertaining to the portfolio and activities of the assigned Philanthropy Director(s);
  • Regularly maintain and update donor records;
  • Regularly monitor major gift reports to ensure accuracy of pipeline and metrics.

3. Donor Support

  • Collaborate with Stewardship colleagues to ensure that appropriate donor cultivation, acknowledgment and stewardship activities are in place and executed. This may involve direct interaction with donors and other internal and external partners; 
  • Understand Sunnybrook’s funding priorities to support connecting donor interests with impact opportunities;
  • Prepare requests for personalized donor proposals, priority overviews and gift agreements;
  • Support regular review of pledge and gift fulfillment; prompt ad-hoc and planned personalized stewardship touchpoints;
  • Assist in organizing, coordinating and managing donor cultivation and stewardship events and tours;
  • Ensure data integrity in distribution lists for impact reports, announcements, invitations, etc.;
  • Book and coordinate annual stewardship update meetings for major donors, as required.

 

Qualifications and Competencies

Below are qualifications and competencies we believe the successful candidate will need for this role:

  • Minimum 1 year experience working in an administrative role, ideally in a charity or non-profit with donor exposure
  • Client-facing experience in a fast paced, complex, professional workplace
  • Experience with data entry; knowledge of Raiser's Edge an asset
  • Proven ability to schedule (MS Outlook), plan and coordinate a full range of informal and formal, small and large meetings and events
  • Proven ability to handle sensitive and confidential situations, demonstrate poise, tact and diplomacy
  • Analytical and problem solving skills and proven ability to research and summarize information
  • Proven ability to provide excellent client service through strong oral and written communication
  • Detail oriented with a high degree of accuracy
  • Highly organized and able to manage multiple priorities with limited supervision

Total Rewards Package

 

The hiring range for this position is $47,000 - 58,000. The salary will be determined based on the successful candidate’s years of experience, qualifications and competencies that are relevant to this position.

 

In addition to salary, our competitive compensation package also includes, comprehensive health and dental benefits, HOOPP (Healthcare of Ontario Pension Plan), hybrid work environment with a minimum of two (2) days in office, two (2) float days each fiscal year and additional Sunny Days (long weekend closures in advance of summer long weekends and Christmas Eve).
