Position Overview

The IT Associate provides first-line technical support for staff, focusing on hardware, peripherals, and day-to-day IT needs. This role is responsible for ensuring a smooth technology experience for Foundation employees by managing onboarding and offboarding IT setups, maintaining equipment, and resolving end-user technical issues.

The position contributes to the Foundation’s success by supporting staff productivity and ensuring secure, reliable access to technology resources.

 

Key Duties and Responsibilities

In this role, you will:

  • Provide prompt, courteous day to day support for Foundation staff on all assigned IT hardware and commonly used software (e.g., Microsoft Office, VPN, email), excluding enterprise systems managed by the Information Systems team.
  • Diagnose and resolve common issues with desktops, laptops, mobile devices, printers, and other peripherals
  • Respond to requests in person, by phone, and electronically (email/chat/Zoom)
  • Oversee meeting room technology to ensure functionality and provide technical support during meetings.
  • Set up and configure new staff workstations, laptops, monitors, phones, printers, and mobile devices and ensure smooth IT onboarding and offboarding.
  • Activate and deactivate user accounts, email, access permissions, and hardware.
  • Coordinate hardware refreshes, equipment replacements, and warranty/repair services.
  • Assist Finance Team with planning for replacement of devices.
  • Oversee printers, copiers, and shared devices, including supplies and vendor coordination.
  • Maintain accurate and up-to-date inventory of IT equipment, licenses, and peripherals.
  • Serve as the first point of contact for technical issues, resolving what’s within scope and escalating more complex system-level or application-specific issues to the Information Systems team or Hospital IT as appropriate.
  • Log support requests, resolutions, and recurring issues; escalate trends for review.
  • Develop and maintain user guides and training resources for common IT processes.
  • Educate staff on safe technology practices, proper use of hardware, commonly used software, security best practices, productivity tips and IT policies.
  • Support adherence to IT security policies by ensuring proper user access and device management and flag risks to management

 

Qualifications and Competencies

  • Bachelor’s degree or college diploma in computer systems, information technology, or related field, or equivalent experience.
  • 2+ years of experience in IT help desk or technical support.
  • Proficiency with current Windows operating systems, MS Office suite, MS Outlook, and VPNs.
  • Experience with workstation setup, hardware installation, and mobile device support.
  • Experience in a charitable or non-profit organization would be an asset.
  • Knowledge of user support best practices in hybrid work environments.
  • Strong technical troubleshooting skills for hardware, operating systems, and mobile devices.
  • Clear communication skills; able to explain technical concepts to non-technical staff.
  • Excellent organizational skills for tracking IT assets and support requests.
  • Excellent understanding of cyber security risks in a hybrid work environment.
  • Strong customer service mindset with problem-solving orientation Ability to manage multiple priorities in a fast-paced environment.

 

Hybrid Work Arrangement: This position is expected to be in the office 4 days a week, with the caveat that additional in-office days may be required to support business needs.

 

Total Rewards Package

The hiring range for this position is $65,000 - 73,000. The salary will be determined based on the successful candidate’s years of experience, qualifications and competencies that are relevant to this position.

 

In addition to salary, our competitive compensation package also includes, comprehensive health and dental benefits, HOOPP (Healthcare of Ontario Pension Plan), two (2) float days each fiscal year and additional Sunny Days (long weekend closures in advance of summer long weekends and Christmas Eve).
