Administrative Assistant - Advanced Life Support Educator Program - Regular Part-Time 2026-16066

Summary of Duties:

Provides comprehensive administrative support to the Program Director, Program Office Manager and the office of the ALSE Program; administrative support to the leadership team of the six separate divisions; and administrative support to the Education Faculty.

Under the supervision of the Program Manager will support the office with day to day administrative operations, intake and registration of trainees, liaise with and register participants with the certifying organizations ( HSF/ American College of Surgeons ), source and acquire educational materials, plus organize individual courses, their Faculty, set up personnel, and trainees.

Reports To: Day to day operations – Program Manager; Overall - Program Director.

 

Position Responsibilities

  • Provides administrative Support to the Program Director, Program Manager and to a lesser degree the Division Leads.

  • Assist with answering requests from clients regarding the course offerings by phone and email

  • Assists with registering trainees and arrange timely delivery of educational material required by each trainee

  • Assists with course closure including any necessary documentation submission to certifying organizations.

  • Maintain and update the Program website on the intranet

  • Liaise with the certifying organizations to support program delivery

  • Liaise with external organizations seeking information

  • Help troubleshoot and resolve trainee issues

  • Assist and support the sourcing of educational material and maintenance of simulators

  • Assist and support the purchase of educational materials and office supplies

  • Assist and create fair, transparent and equitable staffing of both courses and course setup teams while respecting Faculty requests wherever possible

  • Assist with and be knowledgeable of all aspects of course setup and takedown

  • Assist with scheduling and booking of resources for delivering courses

  • Support set up of the training rooms and classroom including physical set up of the patient simulators, check list preparation and post-exercise reset of training rooms and associated resources

  • Provide administrative support to other activities related to enhancing the ALSE Program

  • Support the implementation of special projects and other duties as assigned

 

Qualifications/Skills

 

  • A self-motivated and creative graduate of a University or Community College with related work experience in a health care setting
  • Excellent written and verbal communication skills; fluency in a second language is an asset
  • Commitment to following hospital policies, privacy legislation, and certifying body requirements
  •  
  • Strong interpersonal skills with demonstrated ability to work in a complex, multi-disciplinary and multi-institutional environment
  • Advanced proficiency with office and administrative software (e.g., MS Office, scheduling and database systems)
  • Solid understanding of simulation-based education and its operational requirements
  • Highly organized with the ability to manage multiple priorities and meet tight deadlines in a fast-paced, results-driven environment
  • Exceptional attention to detail and strong commitment to confidentiality and professionalism
  • Strong analytical and problem-solving skills, including the ability to research, organize, and summarize administrative data
  • Demonstrated ability to exercise sound judgment and work independently as well as part of a team
