Position: Executive Assistant to the Principal - Junior School (3-month contract)

Department: Junior School

Reports To: Junior School Principal

Contract Period: October 27, 2025 to January 30, 2026

Application Closing Date: September 30, 2025

Salary: $4,500 - $5,500 per month

The Executive Assistant provides comprehensive organizational, secretarial, and administrative support to the Principal and Vice Principal of the Junior School. This role is central to ensuring the smooth day-to-day operations of the Junior School, supporting faculty and staff, and helping to create an environment where students can thrive. Hours of work are Monday - Friday, 7:00AM - 3:00PM, however, there is room for flexibility on the number of days per week for the right candidate.

This short-term contract is to cover a temporary leave of absence.

Responsibilities will include:

Teacher on Call & Associate Faculty Support

  • Communicate regularly with Associate Faculty via email, phone, and in person.
  • Monitor staffing coverage documents and address absences promptly.
  • Respond to staff absence emails in a timely manner.
  • Coordinate personal day coverage with the Principal and sick day coverage with the Vice Principal.
  • Provide ongoing support and communication to Associate Faculty.

Faculty Absence & Scheduling

  • Maintain accurate Faculty Absence Spreadsheet for all staff.
  • Report concerns to the Vice Principal, Principal, and HR.
  • Meet daily with leadership to review absences and coverage.
  • Send daily absence notifications and update records.
  • Oversee After School Care absences and ensure there is coverage.

PowerSchool Administration

  • Oversee report card processes with IT and ADST staff.
  • Ensure teacher compliance with report card deadlines.
  • Monitor attendance-taking and track patterns.

Administrative Operations

  • Oversee the ordering of workroom supplies and review office supply budgets quarterly.
  • Coordinate Junior School event bookings in eBase.
  • Prepare weekly school schedule and agendas.
  • Create the staff meeting agenda and minutes to distribute to staff.
  • Maintain Junior School activities calendar.
  • Support front desk staff and provide coverage if required.

Leadership & Direct Support

  • Provide administrative support to the Principal (calendars, meetings, correspondence, catering).
  • Support the Vice Principal with TOC needs, correspondence, and FSA testing.

Communications

  • Share key information with the Communications Department for weekly Junior School eNews.
  • Proofread and contribute to the weekly Junior School eNews.

Special Programs & Events

  • Coordinate Grade 7 Lunch with the Principal.
  • Act as liaison with the Junior School and SGPA for the booking of events.
  • Support the annual Principal’s Trip (communications, logistics, meetings, accounting).
  • Organize Awards Ceremony, concerts, productions, and staff celebrations.



Qualifications will include:

  • Minimum 3-5 years in a senior administrative support role.
  • Demonstrated ability to take initiative.
  • Ability to multi-task.
  • Superior writing and editing skills.
  • Proficient in Microsoft Word and Excel; experience with PowerPoint an asset.
  • Proficient in Google Suite.
  • Working knowledge of Powerschool is an asset.
  • Advanced knowledge of database functions.
  • Excellent communication and interpersonal skills.
  • Ability to work as part of a team and independently.
  • Well organized and attentive to detail.
  • Good judgment and professional demeanor.
  • Key competencies and EQ in the following areas: self-awareness, self-management, empathy,social expertness, initiative, and accountability.
  • Be able to maintain the strictest confidence.
