POSITION DESCRIPTION:

HUMAN RESOURCES COORDIANTOR, PART-TIME (.80 FTE)

We are currently accepting applications for the part-time position of Human Resources Coordinator. This role is 32 hours per week and will begin on August 25, 2025.

POSITION OVERVIEW

The Human Resources Coordinator is a generalist role that provides administrative support across a broad range of HR functions and initiatives. This position is actively involved in recruitment, onboarding, training, health and wellness, occupational health and safety, and responding to inquiries-all in alignment with the HR strategic framework as well as the school's mission, vision, and values.

PRINCIPAL DUTIES and RESPONSIBILITIES

Recruitment:

  • Provide support and ensure consistency in the recruitment and selection process, including:
  • Creating, revising, and tracking job descriptions using Doctract.
  • Create and post job advertisements across various websites and social media platforms.
  • Assist with resume screening, interview scheduling, and coordinating interviews for the hiring committees.
  • Assist with reference and criminal record checks and manage candidate follow-up to ensure a positive candidate experience.
Orientation:
  • Support and participate in welcoming new employees by coordinating and assisting with the orientation & onboarding process.
  • Coordinate and track completion of all mandatory annual training for employees, including First Aid, concussion awareness, student safety and respectful workplace training.
  • Maintain and update new employee profiles in the HR Module of Payworks.

Employee Relations:

  • Recommend and support the implementation of best practices to foster a positive work environment, including the use of tools such as employee surveys.
  • Coordinate resources and provide support in addressing and resolving employee relations inquiries and requests.
  • Ensure accurate and confidential record-keeping of HR documentation in hard copy and digital formats.
  • Coordinate and update the Employee handbook under the guidance of the HR Director
  • Provide faculty and staff with timely information, guidance, and resources related to school policies, procedures, and employee benefits.

Human Resources Administration:

  • Prepare year-end HR Metrics re: recruitment, turnover, demographic trends, etc. for the annual KPI report.
  • Prepare and submit HR action notices to Payroll so employee changes align with the appropriate pay periods.
  • Plan and coordinate health and wellness activities that educate faculty and staff and promote the benefits of wellness.
  • Update the organizational chart so it accurately reflects the current structure and roles within the school.
  • Monitor and track the performance evaluation process for new faculty and staff.
  • Assist in planning and executing faculty and staff social events.
  • Coordinate the annual career celebration program, purchasing five-year milestone gifts and ensuring they are ready for presentation at the first full school assembly.
  • Oversee the administration of recognition programs: birthdays, Perkopolis and work anniversaries.
  • Prepare correspondence for new hires, maternity and medical leaves and resignations.
  • As a member of the health and safety committee, prepare minutes and agendas for monthly meetings and chair meetings as required.
  • Assist the HR Director in preparing annual salary notification letters and new employee contracts.
  • Coordinate reception coverage for the Junior and Senior Schools and provide lunch coverage as required.
  • Coordinate and attend offsite Teacher Job Fairs i.e., UBC
  • Perform additional duties and responsibilities as assigned.

EDUCATION/EXPERIENCE/KNOWLEDGE

  • Post-secondary diploma, combined with 2-3 years of experience in Human Resources, or an equivalent combination of education and experience.
  • Progress toward the Chartered Professional in Human Resources (CPHR) designation is considered an asset.
  • Basic knowledge of employment legislation and occupational health and safety practices
  • Proficient in databases, websites, and a range of computer applications, including Microsoft Office, Google Workspace (G Suite), Outlook, and Canva.
  • Strong organizational, administrative, and interpersonal skills.
  • Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities with strong attention to detail.
  • Demonstrated ability to work independently and collaboratively within a team environment.
  • Proven ability to manage and maintain highly confidential information.
  • Effective verbal and written communication skills.
  • Flexibility to take on additional HR and administrative responsibilities as needed.
  • Willingness to participate in school functions, events, and meetings.

The salary range for this .80 FTE position is from $52,000 to $60,000.
